About The Position

The Site Manager is responsible for the smooth operation and success of the free tax return preparation program (VITA). The site manager manages the year-round tax site at Guadalupe Community Center, which is a mega site and also manages the elderly tax clinic (TCE) site. This position will assist the VITA Director and often be the primary staff person on site when sites are open. The site manager manages all temporary employees hired to run the tax site. Is also responsible for becoming IRS certified at an advanced level to do federal taxes and have knowledge of tax laws. This position is also responsible for being a certified accepting agent for ITIN (Individual Taxpayer Identification Number).

Requirements

  • High School diploma or GED
  • Minimum of 1 years’ experience in preparing taxes
  • At least 1 year of experience in TaxSlayer Software and/or customer service experience.
  • Minimum of 3 years’ experience in preparing taxes including basic tax law, and computer skills
  • Extensive working knowledge of basic tax law, and time management
  • Experience in managing day to day site operations
  • Experience with computer software and online tax software (i.e., TaxSlayer software preferred)
  • A solid grasp of customer service and professionalism
  • Must be detail oriented, organized, self-motivated, work well independently and on a team
  • Must have good written and verbal skills
  • Must have good critical thinking and problem-solving skills
  • Bilingual in English and Spanish required
  • Reliable transportation
  • Valid driver license
  • Valid vehicle insurance

Responsibilities

  • Collaborates with Human Resources on matters concerning recruitment, hiring, verification, training and supervision.
  • Develops and implements employee development plans for program employees.
  • Oversees temporary employees hired for year-round tax clinic.
  • Manages timesheets for VITA Staff, ensuring accuracy.
  • Becomes IRS Certified at the advanced tax preparation level annually.
  • Provides onsite supervision, support and guidance to VITA Staff and tax preparation volunteers.
  • Ensures that adequate volunteer coverage, supplies, forms, & equipment are maintained at tax site.
  • Monitors volunteers and staff to ensure quality review is being conducted & privacy is maintained.
  • Supports volunteers by answering questions, solving problems, and correcting errors.
  • Works with volunteers and taxpayers to address returns that the IRS filing center has rejected.
  • Initiates and completes the Intake/Interview Quality Review form with each assigned taxpayer as needed.
  • Reviews all tax information for relevance, accuracy, and completion.
  • Assists with entering client’s information into Charity Tracker.
  • Ensures compliance with federal IRS rules and regulations.
  • Assists with taxpayer requests and inquiries.
  • Assists in providing a variety of duties involved in supporting the administrative operations of assigned VITA site.
  • Transmits each tax return completed using the Tax Slayer filing system.
  • Periodically reviews quality assurance outcomes and updates systems in place for quality review and reducing rejection rates of tax returns.
  • Conducts necessary and timely follow up as needed.
  • Manages ITIN Appointments, ITIN mail out letters and ITIN database.
  • Assists with ITIN applications and renews ITIN Certification annually.
  • Becomes a Certified Acceptance Agent to process W-7 forms for all ITIN applications.
  • Ensures the completion of all required professional development assignments in a timely manner for their direct reports.

  • Is sensitive to the service population’s cultural and socioeconomic characteristics.
  • Adheres to safety training and protocols on a daily basis and takes precautionary measures to ensure the safety and well-being of self, others.
  • Protects the confidentiality of any information or material obtained in the service with the organization.

  • Performs other duties as assigned by the Program Director.
