About The Position

Provide dependable, professional, and hospitality-focused in-person support for campus visits and admissions events. The Visits & Events Coordinator works closely with the Senior Visit Manager to coordinate the operational details that create a seamless and welcoming experience for prospective students, families, and campus partners. This position is primarily in person due to its highly collaborative and visitor-facing nature. Limited schedule flexibility may be available based on operational needs and demonstrated performance. Occasional evening and weekend work is required to support admissions events.

Requirements

  • Experience in event coordination, hospitality, customer service, admissions, or administrative support.
  • Strong organizational and project coordination skills with the ability to manage multiple priorities simultaneously.
  • An eye for detail and the ability to anticipate needs, identify potential challenges, and solve problems proactively.
  • Proficiency with Microsoft Office and database systems; experience with CRM platforms is preferred.
  • A proactive and self-motivated individual with strong initiative and follow-through.
  • Excellent written and verbal communication skills and a warm, professional approach when interacting with others.
  • Flexibility and adaptability in a fast-paced, collaborative environment.
  • Bachelor's degree preferred or equivalent experience in event coordination, hospitality, customer service, admissions, or administrative support.
  • Demonstrated organizational and project coordination skills.
  • Proficiency with Microsoft Office and database systems; experience with CRM platforms is preferred.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities while maintaining strong attention to detail.

Responsibilities

  • Support the day-to-day operations of the Admissions front desk and visitor experience, providing excellent customer service to prospective students, families, and campus partners.
  • Coordinate daily campus visit logistics, including visitor packets, meal passes, name tags, tour materials, hospitality details, and welcoming guest spaces.
  • Coordinate group and customized visits, including scheduling, confirmations, individualized itineraries, visitor communications, and collaboration with faculty and campus partners.
  • Coordinate the logistical execution of admissions events such as Preview Days, Sunset Tours, and other special programs.
  • Submit and track work orders, room reservations, catering requests, event materials, registration numbers, planning documents, and event timelines.
  • Assist with event setup, breakdown, walkthroughs, quality assurance, and day-of execution alongside student ambassadors and campus partners.
  • Collaborate with Facilities, Dining Services, faculty, staff, and other campus partners to communicate schedules, timelines, and operational needs.
  • Work alongside the Senior Visit Manager and student ambassador team, providing guidance during visits and events and assisting with training and preparation for admissions programming.
