About The Position

This assistant will support the daily operations of a busy Visitor Center. Reporting to the Visitor Center Manager, this position is scheduled Tuesday through Saturday from 8:30 AM to 5:00 PM and may occasionally require evening or weekend hours to support tours, community events, and special projects. You will also serve as an important point of contact for employees, visitors, vendors, and community groups. You will manage administrative support, event coordination, visitor management, calendar administration, accounts payable assistance, purchasing support, and maintaining a welcoming and professional environment.

Requirements

  • High School Diploma or equivalent.
  • Minimum of 5 years of administrative assistant or related professional experience.
  • Strong organizational, administrative, and process management skills.
  • Experience with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Publisher.
  • Valid driver's license with a clean driving record.
  • Ability to occasionally work evenings and weekends to support meetings and special events.
  • Lift, carry, push, or pull up to 25 pounds.
  • Stand for extended periods during tours and events.
  • Frequently bend, stoop, kneel, and reach.
  • Ascend and descend stairs as needed.
  • Reach and grasp objects above shoulder height and below waist level.

Responsibilities

  • Provide administrative support for Visitor Center operations, including scheduling, correspondence, recordkeeping, and travel coordination.
  • Manage the Visitor Center calendar, meeting space reservations, tours, and special events.
  • Coordinate invoices, purchase orders, requisitions, and office supply inventory.
  • Prepare meeting agendas, presentations, reports, spreadsheets, and other business documents.
  • Track project deadlines, action items, and incoming requests to ensure timely follow-up.
  • Welcome visitors and vendors, ensuring compliance with security and sign-in procedures.
  • Respond to inquiries by phone, email, and in person.
  • Coordinate community tours, reservations, waitlists, and event logistics.
  • Support community engagement initiatives and special projects.
  • Maintain a professional, organized, and customer-focused Visitor Center environment.
