About The Position

We are seeking a highly detail-oriented Virtual Assistant to provide operational and administrative support across multiple regional teams. This role is focused on executing high-volume, process-driven tasks with precision particularly across affiliate management, influencer coordination, and financial administration. The ideal candidate is proactive, organized, and thrives in a structured, execution-heavy environment with minimal supervision.

Requirements

  • Previous experience as a Virtual Assistant or in an operations/admin role (preferably within e-commerce or a marketing agency)
  • Strong attention to detail with a high level of accuracy in repetitive tasks
  • Highly organized with the ability to manage multiple workflows across regions
  • Proactive and process-driven with a strong sense of ownership
  • Comfortable handling high-volume, manual execution tasks independently
  • Strong written English communication skills

  • Experience with tools such as ClickUp (or similar project management platforms) is a plus

Responsibilities

  • Conduct monthly order reconciliation across affiliate platforms and internal systems
  • Cross-check sales data to approve or decline commissions based on order status
  • Ensure accuracy and consistency across all affiliate reporting
  • Execute initial outreach to creators using pre-approved templates across multiple markets
  • Coordinate end-to-end product seeding logistics, including shipping and tracking
  • Maintain organized records of creator communication and deliveries
  • Monitor influencer and affiliate accounts daily to identify live content
  • Download and organize content into centralized folders for paid media use
  • Proactively request whitelisting/dark post codes from creators once content is live
  • Submit all paid media assets via ClickUp, ensuring complete and accurate data entry (links, codes, descriptions)
  • Perform routine website checks following campaign or offer launches
  • Verify functionality of links, discount codes, and promotional banners
  • Flag and report any issues promptly
  • Collect, verify, and organize invoices from partners and creators
  • Maintain accurate financial records and documentation
  • Support general administrative tasks as needed
