About The Position

Andrew Peller Limited (APL) is seeking a highly organized, bilingual (English/Spanish) Vineyard Operations Administrator to serve as the administrative and logistical center for their vineyard operations in the South Okanagan. This role, primarily based at the Tinhorn Creek Winery office in Oliver, BC, will support the vineyard leadership team and the seasonal workforce. Key responsibilities include coordinating Temporary Foreign Worker (TFW) logistics, maintaining employee records, entering payroll hours, assisting with accounts payable, organizing documentation, and ensuring the smooth running of daily operations. This is a hands-on coordination role that blends administration, workforce support, and operational logistics, acting as a central point of contact between vineyard leadership, seasonal employees, and essential business functions to ensure efficient vineyard operations throughout the growing season. The role involves regular interaction with seasonal vineyard employees across multiple sites, assisting with worker arrivals, housing, transportation, and appointments, while maintaining accurate data entry and compliance with federal program requirements. Spanish fluency is essential for communication between vineyard teams and seasonal workers. The position offers a hybrid work arrangement and requires flexibility, with potential for occasional evening or weekend hours during peak periods like harvest to meet payroll deadlines, manage worker arrivals, and support operational needs.

Requirements

  • Bilingual in English and Spanish, with strong verbal and written communication skills in both languages.
  • Experience in administration, office coordination, operations coordination or a similar role.
  • Exceptional organizational skills with the ability to manage multiple priorities, deadlines and competing demands.
  • High attention to detail and a commitment to accuracy, particularly when working with payroll, employee records and compliance documentation.
  • Strong interpersonal skills with the ability to build trust and communicate effectively with a diverse workforce.
  • A customer-service mindset with a genuine desire to support people and solve problems.
  • Comfortable working independently while collaborating with multiple leaders and departments.
  • Proficiency with Microsoft Office, including Excel, Outlook and Word.
  • Experience using payroll, HRIS and/or operational management systems, with the ability to quickly learn new technology.
  • Valid driver's licence and reliable transportation, with the ability to travel between vineyard locations as required.
  • A positive attitude, strong work ethic, adaptability and a willingness to pitch in wherever needed.

Nice To Haves

  • Experience supporting payroll administration or employee timekeeping is considered an asset.
  • Knowledge of the Temporary Foreign Worker Program (TFWP), Seasonal Agricultural Worker Program (SAWP) or LMIA processes is considered a strong asset.
  • Experience in agriculture, farming, manufacturing, hospitality or another seasonal operational environment is an asset.

Responsibilities

  • Coordinate administrative activities related to the Temporary Foreign Worker Program (TFWP), Seasonal Agricultural Worker Program (SAWP), and LMIA compliance requirements.
  • Coordinate worker arrivals and departures, including transportation, housing logistics and orientation activities.
  • Act as the primary bilingual liaison between seasonal workers and vineyard leadership, providing day-to-day support and assisting with communication.
  • Assist workers with appointments, banking, medical visits, government services and document translation as required.
  • Work closely with the maintenance team to coordinate seasonal worker housing throughout the season.
  • Maintain accurate employee records and compliance documentation while ensuring confidentiality.
  • Serve as the administrative hub for multiple vineyard locations, supporting Vineyard Managers and the Grower Relations team.
  • Complete accurate and timely data entry across payroll, HRIS and operational management systems.
  • Coordinate employee timekeeping and payroll administration, ensuring hours are entered accurately and within required deadlines.
  • Support new hire onboarding by preparing documentation and coordinating employee system setup.
  • Assist with accounts payable processes, including supplier invoices, expense tracking, mileage and company credit card reconciliations.
  • Coordinate incoming and outgoing mail, deliveries and administrative documentation related to the seasonal workforce.
  • Maintain organized filing systems and operational records, ensuring information is accurate, current and easily accessible.
  • Keep the vineyard office organized, stocked and operating efficiently while supporting a variety of day-to-day administrative needs.
  • Regularly travel to vineyard locations to provide administrative support, answer questions and build relationships with vineyard employees.
  • Provide additional administrative and operational support to the vineyard leadership team as business needs evolve.
