About The Position

The Practice Manager is responsible for overall hospital operations, staff management and workflow optimization. This role emphasizes accountability, efficient administrative processes, and high-quality customer service while partnering with veterinary leadership for clinical alignment. The Practice Manager ensures the hospital runs efficiently, staff performance is actively managed, and operational systems are continuously improved.

Requirements

  • 3-5 years of operations or practice management experience
  • Strong leadership skills
  • Strong process improvement and problem-solving skills
  • Ability to perform several tasks concurrently, time management and organizational skills.
  • Excellent interpersonal and oral, verbal, and written communication skills.
  • Ability to maintain confidential information.
  • Ability to organize and maintain detailed records; complete necessary paperwork and meet deadlines.
  • Ability to use computers, word processing, spreadsheets, email, and data base applications.
  • Familiarity with dog training and behavior, animal health and disability awareness and sensitivity.

Nice To Haves

  • Certified Veterinary Practice Manager (CVPM) a plus.
  • Post-secondary degree preferred, preferably in field directly related to this role, or combination of education and experience that would lead to the successful performance of the essential functions of the role.
  • Experience in veterinary, healthcare preferred.
  • Experience managing teams of 10+ staff preferred.

Responsibilities

  • Supervise and manage a team of approximately 10+ Staff, including scheduling and daily oversight.
  • Lead regular staff meetings and maintain clear communication expectations.
  • Ensure adherence to policies, procedures, and service standards.
  • Oversee front desk and administrative workflows to ensure efficiency and consistency.
  • Coordinate training dogs to see specialists, as necessary. Arrange appointments, transportation and payment to specialty hospital.
  • Identify bottlenecks and implement process improvements.
  • Maintain and update standard operating procedures (SOPs).
  • Ensure accurate scheduling and coordination of hospital operations.
  • Maintain compliance with organizational policies and OSHA/safety requirements.
  • Evaluate regional drug formulary and proper drug storage including controlled substances.
  • Ensure veterinary licenses and certifications are current and meet necessary requirements; premise permit, veterinary license, radiation detection/dosimetry, radiation etc.
  • Ensure accurate documentation and recordkeeping standards.
  • Partner with veterinary leadership on regulatory readiness.
  • Oversee hospital software systems and staff utilization.
  • Coordinate with finance on invoices, vendor accounts, and supply management.
  • Ensure data accuracy and reporting consistency.
  • Establish and enforce customer service standards for front desk operations
  • Monitor communication quality (calls, emails, follow-ups)
  • Handle escalated client concerns and ensure resolution
  • Partner with veterinary staff to support operational needs (non-clinical leadership)
  • Coordinate with internal departments to ensure smooth program operations
  • Support onboarding and training of staff and volunteer
