About The Position

The Veterinary Clinic Supervisor oversees the daily administrative and operational functions of the veterinary clinic, ensuring efficient delivery of medical services, regulatory compliance, accurate medical record management, and exceptional support for veterinary staff, clients, volunteers, raisers, and foster families. This position serves as the primary coordinator for clinic operations, scheduling, medical documentation, inventory management, and staff supervision while supporting veterinarians and Licensed Veterinary Technicians (LVTs) in providing high-quality patient care.

Requirements

  • Licensed Veterinary Technician required.
  • Minimum two (2) years demonstrated leadership experience in a veterinary setting or related field.
  • Excellent interpersonal skills and collaborative style; ability to establish and maintain effective relationships with other team members, volunteers.
  • Excellent oral and written communication skills, as well as strong organizational skills, and have acuity with detail.
  • Extremely well organized and self-directed with the ability to work well under pressure, handle multiple priorities and meet deadlines.
  • Possess a calm and confident rapport with animals and exhibit the humane treatment and care of dogs in alignment with Leader Dog animal welfare and IGDF Accreditation training standards.
  • Comfortable with and willing to work around large dogs.
  • Excellent documentation skills and proficient in the latest version of Microsoft Office products to include email communications.
  • Possess sound business judgment, exercise professional conduct, understand and follow business ethics and standards, and maintain a high level of confidentiality in all duties.
  • Possess a valid driver’s license and a good driving record if asked to drive company vehicles.
  • Ability to work independently or collaboratively in a team setting and accept direction on given assignments from supervisory staff.
  • Work effectively with volunteers in the organization.
  • Ability to establish and maintain professional, productive and courteous interactions with employees that promote positive teamwork, as well as with volunteers, donors, clients and all constituents of Leader Dog.

Responsibilities

  • Oversees daily veterinary clinic operations, staff coordination, scheduling, and administrative functions.
  • Maintains efficient patient care workflows, medical record accuracy, and regulatory compliance.
  • Serves as a key liaison between veterinarians, LVTs, clients, raisers, foster families, and volunteers.
  • Directly supervise Licensed Veterinary Technicians (LVTs), including coaching, feedback, and performance evaluations.
  • Develop and monitor clinic schedules to ensure adequate medical coverage and adjust staffing as needed.
  • Support team member development and maintain effective team communication.
  • Manage medical records, database entries, and incoming veterinary documentation.
  • Process career change records and communicate medical updates to appropriate departments.
  • Monitor clinic communications, including faxes, prescription requests, and medical records.
  • Prepare daily and weekly surgery, examination, and recheck schedules.
  • Schedule outpatient appointments and coordinate patient care services.
  • Serve as a primary contact for clients, raisers, and foster families regarding medical needs.
  • Coordinate reminder calls, follow-up communications, and recheck appointments.
  • Assist with graduate return exams and reimbursement-related communications.
  • Collaborate with internal departments to ensure timely and effective client support.
  • Prepare cage signs, discharge instructions, and supporting medical paperwork.
  • May assist with transport of patients to specialty appointments and referral facilities.
  • Support patient recovery and clinic operations during procedural days.
  • Distribute medications and treatment instructions to appropriate locations.
  • Manage health certificates, OFA submissions, PennHIP documentation, and other regulatory requirements.
  • Monitor vaccination compliance, including rabies and puppy vaccine tracking.
  • Coordinate annual certifications, inspections, and compliance programs.
  • Maintain required records to meet veterinary and governmental standards.
  • Oversee pharmaceutical and medical supply ordering and inventory management.
  • Monitor and authorize prescription requests as appropriate.
  • Coordinate distribution of clinic supplies, medications, and program materials.
  • Coordinate veterinary student externships, housing arrangements, and required documentation.
  • Participate in database user groups and operational improvement initiatives.
  • Schedule health lectures, examinations, and program-related events.
  • Support foster approvals, medical foster coordination, and related meetings.
