About The Position

Lighthouse Technology Services is partnering with our client to fill their Vendor Program Specialist position! This is a 6 month contract with potential to extend and/or convert to full time and will be hybrid in Charlotte, NC. This role will be a W2 employee of Lighthouse Technology Services. No C2C or subcontracting arrangements will be considered.

Requirements

  • 2-4 years of experience in vendor management, procurement operations, contract administration, or software licensing support
  • Strong organizational skills and attention to detail with ability to maintain accurate records across multiple programs
  • Proficiency with Excel and reporting tools for data tracking, validation, analysis, and recurring operational reporting
  • Demonstrated ability to identify discrepancies in license counts, usage data, and vendor records and escalate appropriately
  • Strong written and verbal communication skills for coordinating with users, vendors, and internal stakeholders
  • Ability to manage multiple requests, deadlines, and follow-up items while adhering to SOPs in a fast-paced environment

Nice To Haves

  • Experience supporting SaaS vendors, enterprise licensing programs, or software asset management operations preferred
  • Familiarity with subscription-based licensing models, chargeback processes, and compliance documentation practices is a plus

Responsibilities

  • Manage routine license administration including adds, removes, transfers, and access changes across assigned vendor programs
  • Maintain accurate records for licenses, entitlements, users, allocations, renewals, and vendor documentation to ensure program continuity
  • Monitor request queues and vendor tickets to ensure timely completion and identify discrepancies requiring escalation
  • Prepare and maintain recurring reports on license usage, consumption, billing, recovery, and renewal activities for leadership review
  • Validate license counts, user data, and vendor-provided reports for accuracy and completeness to support financial reviews
  • Support audit readiness by organizing and maintaining complete documentation of licensing activity, approvals, and vendor records
  • Coordinate routine vendor communications, user trainings, demos, and meeting logistics to maintain program visibility
  • Prepare renewal-ready data including usage reports, entitlement documentation, and spend analysis for commercial review
  • Execute approved operational changes related to license cleanups, user migrations, consolidation activities, and access updates
  • Escalate complex vendor, commercial, technical, compliance, or governance issues to senior program owners
