About The Position

As a Vendor Management Specialist, you will be responsible for setting up and maintaining vendor accounts, ensuring all records are accurate and compliant with company policies. You will collaborate with accounts payable and vendors to resolve any onboarding issues promptly. Your role will also involve gathering, verifying, and updating vendor documentation, assisting with 1099 preparation, and supporting year-end processes.

Responsibilities

  • Set up and maintain vendor accounts, ensuring accuracy and compliance with company policies.
  • Collaborate with Accounts Payable and vendors to resolve onboarding issues.
  • Periodically gather, verify, and update vendor W-9 documentation.
  • Assist with 1099 preparation and contribute to year-end processes.
  • Respond to vendor inquiries via the help desk, providing timely support.
  • Guide and support the AP team in collecting documentation for audits.
  • Uphold internal controls throughout vendor management and AP operations.
  • Collaborate with stakeholders to identify and implement process improvements.
  • Handle administrative tasks and contribute to special projects as needed.
  • Ensure prompt and accurate responses to inquiries from internal teams and external suppliers.
  • Partner with internal departments and vendors to resolve discrepancies in invoices or payments.
  • Provide stakeholders with ad hoc reports, data analysis, and insights.
  • Work with business units to enhance reporting capabilities and streamline AP procedures.
  • Prepare and distribute AP-related reports and analytics.
