About The Position

The Voiland College of Engineering and Architecture (VCEA) supports innovative education, research, and industry partnerships that prepare students to solve complex real-world challenges. The Personnel Assistant plays a key role within the Dean’s Office, providing administrative support that helps advance college operations, development activities, personnel processes, and special initiatives. As the Personnel Assistant in the VCEA Dean's office, you will provide professional-level support to the Director of Administrative Services. You will help ensure the efficient operation of the Dean’s Office by coordinating projects, supporting personnel activities, and contributing to initiatives that serve faculty, staff, students, donors, and external partners. In this role, you will provide support to the VCEA by coordinating personnel actions, recruitment and onboarding activities, payroll and timekeeping processes, and position management functions. You will serve as a key resource for managers and employees on employment procedures, university policies, and Workday transactions. Additionally, you will ensure the accuracy, compliance, and integrity of personnel records, payroll data, position information, and employment documentation while supporting workforce planning, employee development, and organizational objectives.

Requirements

  • High school diploma or equivalent AND three (3) years of clerical, office or administrative experience, OR an Associate’s degree in business administration, public administration, or a closely related field may substitute for experience, AND one (1) year of experience as an Administrative Assistant 2 or two (2) years as an Administrative Assistant 1, OR equivalent education/experience.
  • Strong computer skills and proficiency with Microsoft Office Suite.
  • Excellent communication skills, both written and oral.
  • Demonstrated ability to interact effectively with persons of varying levels of responsibility and experience.
  • Experience maintaining hardcopy and electronic records/files.
