About The Position

The US / Canada Payroll Tax Lead provides comprehensive payroll tax guidance and support to a high-volume, complex payroll department. Responsible for ensuring the organization’s payroll tax operations are fully compliant with all federal, state, provincial, and local regulations. This role governs the accurate and timely remittance, reconciliation, and reporting of payroll taxes by our third-party provider, as well as taxes maintained internally. The lead will support audits and tax system updates. This position collaborates closely with internal stakeholders, tax authorities, and external vendors to ensure end-to-end compliance and efficiency. Proficiency with resolving complex employee tax questions and related queries. Demonstrated proficiency in the ability to manually calculate taxable wage bases ensuring knowledge of various payroll tax requirements.

Requirements

  • Minimum of 5 years of payroll tax experience
  • Must be an excellent communicator (verbal and written).
  • Must have strong analytical skills to solve complex issues.
  • Strong technology skills – ability to learn new systems and tools quickly.
  • Excellent attention to detail.
  • Ability to work independently as well as in a team setting.

Responsibilities

  • Ensure accurate calculation, withholding, and remittance of payroll taxes across all jurisdictions (federal, state, provincial, and local).
  • Drive improvements in payroll tax processes, systems, and documentation by leveraging available AI technologies.
  • Prepare/Complete unsupported payroll tax filings (such as NV Business Tax, WA L&I, Seattle PET) and related reports including monthly, quarterly, and annual returns and amendments meeting strict deadlines.
  • Maintain compliance with current tax laws and monitor legislative changes that affect payroll taxation.
  • Manage and resolve tax notices, audits, and inquiries from government agencies by company determined SLA’s.
  • Coordinate, verify, and register new tax codes as needed.
  • Partner with Payroll, HR, Benefits, Global Equity, Finance, and external vendors to support compliance and reporting processes.
  • Reconcile tax liabilities and coordinate with Controllership for appropriate accounting.
  • Implement and maintain internal controls to minimize risk and ensure data integrity.
