About The Position

This is a temporary position to provide secretarial/clerical coverage in an efficient, timely, and professional manner. The role involves greeting patients, collecting copays, obtaining demographic and insurance information, registering patients, answering telephones, and managing patient records. The receptionist will also assist with medical records, communicate with healthcare providers, and ensure accurate maintenance of administrative records. The position requires excellent service to all patients and staff, reflecting the organization's commitment to compassion, accountability, respect, excellence, and service. The ability to adjust to unexpected changes and increased patient volumes is also essential.

Requirements

  • Strong communication and interpersonal skills required.
  • Experience of current office technology.
  • Proficient in computer office applications.

Nice To Haves

  • Experience in an office setting with at least 1 year experience preferred.
  • Medical Terminology knowledge preferred.

Responsibilities

  • Provide secretarial/clerical coverage.
  • Review payment policies and collect copay at time of service.
  • Greet patients, obtain demographic and insurance information, and register patients into the system.
  • Answer telephone promptly, direct calls, and take accurate messages.
  • Obtain legally acceptable general consents to bill third parties.
  • Secure copies of valid insurance cards and photo identification cards.
  • Open and distribute mail.
  • Fax prescriptions to pharmacy as needed.
  • Refer patients to Medical Records for copies of medical records.
  • Assist physician in contacting CCHC on call providers or a patient’s primary care physician.
  • Maintain patient records, including retrieving charts, filing correspondence, reports, and test results.
  • Pull charts for telephone messages as needed.
  • Scan documents into patients’ charts as needed.
  • Refer patients unable to pay or with billing questions to billing department.
  • Distribute charts to secretary, nurse, or physician as needed.
  • Perform all responsibilities/duties required by the position to assure patient needs are met.
  • Ensure accurate maintenance of administrative records.
  • Work and communicate cooperatively with co-workers, patients, visitors, and other personnel.
  • Demonstrate the ability to adjust to unexpected changes and increased patient volumes.
  • Perform other essential work-related duties as requested/directed.
  • Provide service excellence to all patients, family members, visitors, volunteers, and co-workers.
