About The Position

Under the supervision of nurse managers and according to established policies and procedures, this role provides clerical support to patient care activities in the Emergency/Trauma Center. The Unit Secretary assists patients and their families who are undergoing or awaiting treatment. This role involves contacting physicians, preparing treatment request forms, and operating an on-line computer terminal. Requirements

  • Completion of high school or equivalent.
  • Well-developed interpersonal and communication skills.
  • Knowledge of department procedures.
  • Knowledge of medical terminology.
  • Ability to operate on-line computer terminals.
  • Three to six months of responsible work experience, preferably involving patient contact and the application and knowledge of medical terminology.
  • Familiarity with computers preferred.

Responsibilities

  • Receiving and directing communications such as incoming calls from police, media, rescue drivers, physicians and others, handling or rerouting them per department policy, and initiating related forms and/or records.
  • Communicating with patients or patient families to provide general information regarding department operations or to request a return to the hospital, and providing or relaying patient status as directed.
  • Contacting private physicians, medical examiners and others as required.
  • Receiving and responding to requests for paging of physicians and other hospital personnel, operating telephone and radio beepers according to established procedures.
  • Notifying appropriate security agency of emergency treatments resulting from assaults, gunshots, animal bites, accidents and the like, according to state Department of Health regulations.
  • Greeting patients in pediatric or walk-in clinics and directing them to treatment areas.
  • Completing physician orders for diagnostic tests and/or treatment/therapies using the on-line computer terminal to access the Laboratory Information System (LIS).
  • Utilizing the Patient Managed Access System (PMAS) to enter, access, and update patient and related hospital data.
  • Maintaining a list of patients, updating it as needed, recording patients placed on the “danger” list and informing appropriate staff, and updating computerized records for department operating statistics.
  • Ensuring Emergency Department patient records are complete upon discharge, including diagnosis and appropriate signatures and authorizations, and filing charts according to procedure.
  • Assisting the quality assurance program by receiving, sorting, distributing, and filing x-rays, laboratory reports, and other test results and charts.
  • Performing other clerical duties such as ordering supplies, preparing schedules, and reviewing records to obtain information.
  • Maintaining knowledge of the Emergency Disaster Plan.
  • Responsible for the routing maintenance of fax machine, copier, printers, and other office equipment.
