The Unit Secretary is responsible for performing various administrative, secretarial and clerical duties. This role understands and follows the organization's policies, procedures and standards. The individual is an independent worker, meeting the day-to-day needs of the director and the department, and participates in the department's and organization’s performance improvement activities.

Requirements

  • High school graduate or equivalent.
  • Previous knowledge of medical terminology required (great role for a care technician looking to step away from direct patient care)
  • Must be able to use office software's such as Microsoft, Word, Excel
  • Must be an organized multi tasker with strong written and verbal skills

Responsibilities

  • Greets visitors, directs visitors appropriately; maintains the communication flow of the office.
  • Demonstrates the ability to be flexible and organized during stressful situations.
  • Answers the telephone in a professional manner; screens calls, takes messages, directs calls appropriately.
  • Sorts, logs and distributes all incoming mail; identifies mail that needs immediate attention.
  • Maintains an organized, efficient filing system. Debrides files according to established department and hospital guidelines.
  • Records, prepares and distributes meeting minutes.
  • Orders supplies and printing weekly. Assists in cost containment through appropriate ordering and conserving of supplies and equipment.
  • Interacts professionally with all visitors, within the department/office and with other departments.
  • Transcribes from dictated or written material minutes, memoranda, policies, procedures and reports.
  • Accepts other duties as assigned.
