About The Position

The Unit Secretary at Wellbridge Addiction Treatment & Research provides critical administrative, clerical, and clinical support for our inpatient stabilization, rehabilitation, and reintegration programs. The Unit Secretary promotes collaborative and respectful interactions within the healthcare team.

Requirements

  • High school diploma or equivalent.
  • Experience in healthcare, behavioral health, or addiction treatment settings.
  • Basic Life Support (BLS) certification (or obtain within 60 days).
  • Basic knowledge of addiction treatment and mental health services.
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to multitask efficiently in a fast-paced environment.
  • Conduct general office duties, communicate information clearly orally and electronically.
  • Consistent computer and phone use.
  • Continuously traverse all nursing and facility areas.

Nice To Haves

  • Certificate or training in health administration, medical office administration, or related field.
  • Current BLS certification.
  • Proficiency in medical terminology and electronic health record systems.
  • Familiarity with OASAS, ASAM, and Joint Commission standards.

Responsibilities

  • Provide administrative and clerical assistance to staff.
  • Manage visitor and patient flow, including admissions, transfers, discharges, and bed assignments.
  • Assist in organizing each shift by creating interdisciplinary team communications, patient assignment sheets, and shift hand-off documentation.
  • Coordinate patient transportation to/from hospitals.
  • Manage calls and phones for all units, providing clear and timely communication across multiple units.
  • Float between units to support staff and ensure operational consistency.
  • Maintain accurate and organized patient medical records and charts
  • Monitor supply levels, organize and manage inventory.
  • Participate in interdisciplinary team huddles and meetings, contributes to patient care improvements. Communicates with Operations, Maintenance, and Housekeeping teams for departmental needs.
  • Supports and trains new employees.
  • Supports a collaborative and high-quality care environment.
