About The Position

The Unit Secretary in Surgical Day Care is responsible for a variety of administrative and clerical tasks to ensure the smooth operation of the unit. This includes patient registration, appointment scheduling, maintaining patient records, managing supplies, and handling communications. The role requires strong organizational skills, proficiency in healthcare informatics systems, and excellent customer service abilities. The Unit Secretary plays a crucial role in patient intake, information dissemination, and coordination of services within the Perioperative Services department.

Requirements

  • Ability to read, write, and communicate in English.
  • Demonstrated knowledge of healthcare informatics systems.
  • Successful passage of a medical terminology course or successfully pass the medical terminology challenge exam.

Nice To Haves

  • Medical Secretary/Medical Receptionist experience preferred.

Responsibilities

  • Interviews patient and/or patient representative to obtain required information for registration in the hospital information system, maintaining accuracy, confidentiality, and integrity of the database.
  • Provides information to patients/representatives regarding Health Care Proxy, Advanced Beneficiary Notice, Important Medicare Message (IMM) forms, and financial issues, referring to a Financial Counselor if appropriate. Obtains completed forms.
  • Maintains providers' daily appointment schedules, including scheduling, rescheduling, processing cancellations, and handling no-show appointments.
  • Maintains accurate, complete, and up-to-date patient records, obtaining old records, reports, results, dictation, and transcription as instructed.
  • Maintains an adequate quantity of forms, materials, and supplies on the assigned unit.
  • Responds professionally and courteously in all telephone and verbal communications with internal and external customers.
  • Answers phones, relays calls and/or messages, and contacts ancillary departments, private physicians, and other healthcare facilities.
  • Provides timely communications with nursing staff.
  • Schedules appointments for pre-admission testing services within Perioperative Services, utilizing available appointment times.
  • Initiates admission and registration for all Perioperative Services patients.
  • Coordinates patient transport resources according to established policies, procedures, standards, and recommendations, or as requested.
  • Copies, scans, and faxes materials. Obtains, correlates, and processes medical records and reports as required or requested.
  • Adheres to safety, blood, and body fluid policies and procedures.
  • Demonstrates proficiency and accuracy in the use of healthcare informatics systems.
  • Represents the hospital in the community and within the hospital by maintaining patient confidentiality.
  • Consistently provides service excellence to all patients, family members, visitors, volunteers, and co-workers.
  • Performs other work-related duties and activities as assigned or requested.
