About The Position

Eventide on Eighth in Moorhead, MN is hiring for a full-time Unit Secretary to work from 8:00a-4:30p Monday through Friday with holiday rotation. Responsible for the clerical and receptionist work, daily records, charts, and medical and administrative information for the Resident Care department. Ensures that work is performed in accordance with current federal, state and local standards, guidelines, and regulations that govern medical records as required by the Director of Nursing and the Resident Care Manager. Works closely with residents/tenants, families, and providers with scheduling and coordinating appointments.

  • Clerical and receptionist skills
  • Knowledge of daily records, charts, and medical and administrative information
  • Understanding of current federal, state, and local standards, guidelines, and regulations for medical records
  • Ability to work closely with residents/tenants, families, and providers
  • Skills in scheduling and coordinating appointments
  • Ability to monitor facility access using video camera, intercom system, security alarms, Wanderguard, and fire alarms
  • Telephone answering and message relay skills
  • Ability to assist with resident transfers and admissions documentation
  • Proficiency in maintaining resident charts
  • Ability to schedule physician appointments and visits
  • Capability to monitor and schedule external medical relations including appointments, lab work, pharmacy orders, and x-rays
  • Ability to ensure proper transportation for appointments
  • Ability to transcribe physicians’ orders under supervision
  • Ability to assist with in-house room changes and complete necessary documentation and notifications
  • Skill in maintaining an adequate inventory of clerical and office supplies
  • Ability to prepare appropriate documentation sheets
  • Ability to submit work requests for maintenance needs

Responsibilities

  • Monitors facility access with the aid of video camera, intercom system, security alarms, Wanderguard, and fire alarms.
  • Greets, directs, and provides information to residents/tenants, staff, families, and visitors.
  • Answers the telephone and relays messages and requests to unit personnel. Provides requested, appropriate information to callers when possible and transfers calls according to requests.
  • Assists with resident transfers and admissions documentation.
  • Maintains resident charts and schedules required physician appointments and visits.
  • Monitors and schedules external medical relations including appointments, lab work, pharmacy orders, and x-rays while ensuring proper transportation to and from appointments.
  • Transcribes physicians’ orders under supervision of the Charge Nurse.
  • Assists with in-house room changes and completes necessary documentation and notifications.
  • Maintains an adequate inventory of clerical and office supplies on unit.
  • Prepares appropriate documentation sheets as required and requested.
  • Submits work requests for maintenance needs.
