About The Position

Oak Valley Health is seeking a Unit Secretary for the Diabetes and Pediatric Ambulatory Clinics at Markham Stouffville Hospital. This part-time regular position involves working with an interprofessional team, including an Endocrinologist, Registered Nurse, Registered Dietitian, and Registered Social Worker, to provide care for pediatric patients with acute illnesses requiring consultation and follow-up, as well as those with diabetes. The Unit Secretary plays a crucial role in the efficient and effective operation of the clinics, handling both clerical and receptionist duties.

Requirements

  • Recent unit secretary experience in a CCS clinic or outpatient clinic environment preferred
  • Strong understanding of medical terminology an asset
  • Data entry experience preferred
  • Basic Meditech Booking experience
  • Sound knowledge of medical terminology
  • Working knowledge of computer technology with proficient typing skills
  • Experience with patient scheduling and registration modules is essential
  • Experience with Meditech is preferred
  • Strong customer service, interpersonal, and written and verbal communication skills
  • Ability to prioritize and manage multiple demands in a fast-paced environment
  • Strong critical thinking, problem-solving, and decision-making skills with a high attention to detail
  • Excellent organizational skills
  • Demonstrated good attendance and performance records with the ability to maintain these same standards
  • Demonstrates a commitment to a healthy and safe workplace for self and others by taking all reasonable precautions and working in compliance with organization-related policies, health and safety legislation and best practices and completing relevant mandatory education as required

Responsibilities

  • Scheduling clinic appointments for initial consultation and follow-up visits
  • Completing tasks requested by doctor and clinic staff verbally and by email
  • Sending registration requests by email
  • Data collection and BORN data entry
  • Greeting patients, answering and directing telephone calls to the appropriate personnel
  • Follow-up of telephone reminder appointments to patients as required
  • Ordering and maintaining office supplies
  • Photocopying, faxing, filing, and compiling/photocopying reports to send to various outside agencies
  • Performing special projects as assigned
  • Monitoring clinic resources, closing or opening schedules based on Physician needs
