About The Position

This position serves as a Unit Secretary/CNA, with the State Role Title of Admin and Office Spec II. The role involves administrative and direct resident care duties within the Nursing department at the Davis & McDaniel Vet Care Center. The position requires answering telephones, making appointments, relaying messages, and responding to call lights courteously and in a timely manner. Responsibilities include managing medical records by thinning and filing documents, maintaining required forms, preparing consults, and monitoring for delays. The role also involves preparing charts for doctor visits, keeping the nurses' station orderly, and ordering supplies. Additionally, the Unit Secretary/Cna is responsible for the resident lab calendar and interacting with families and visitors. A key duty is performing monthly audits on charts to ensure all tasks are completed and entering monthly weights into the computer. The position requires staying current with State and Federal regulations pertinent to Medical Records and understanding relevant policies and procedures. In addition to administrative tasks, the role includes assuming a resident care group, transporting residents to appointments, providing ADL care, and ensuring resident safety through observation and interaction. The position may require reassignment to any unit based on staffing needs with short notice and may involve assisting the agency or state government in the event of an emergency declaration.

Requirements

  • High School Diploma or equivalent.
  • Must have a valid Virginia CNA License.
  • CPR certification required upon hire or willing to obtain.

Responsibilities

  • Answer telephone, make appointments and relay messages in a courteous manner at all times.
  • Answer call light in a timely manner.
  • Thin and file any papers pulled from the chart in their respective folders in the Medical Records room.
  • Maintain required forms in the file drawers for the nurse’s use.
  • Prepare consults and monitor for delays or lack of response for scheduling.
  • Prepare charts for the doctors upon their scheduled visits.
  • Keep nurses station orderly at all times.
  • Order supplies from Central Supply for nurses.
  • Responsible for resident lab calendar.
  • Interact with families and visitors assisting when applicable.
  • Perform a monthly audit on each chart to determine what has not been completed.
  • Enter monthly weight into the computer by the designated time.
  • Keep current with State and Federal regulations pertinent to Medical Records.
  • Knowledge of policies and procedures.
  • Assuming a resident care group, transporting resident to appointments, providing ADL care as indicated.
  • Ensure safety of residents by observing and interacting with when needed.
  • Performs other duties as may be assigned that are within the Nursing department’s mission and as situations warrant in meeting the overall needs of the facility.
  • May be assigned to any unit as staffing needs change with short notice.
  • May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
