About The Position

A member of the Nursing Department, who, under the direct supervision and with consultation of a professional licensed nurse, performs a variety of support services to assist the professional nursing staff in optimizing patient care. This role involves various clerical duties, patient record maintenance, communication, and unit upkeep. The specific duties may vary depending on the unit, such as Acute Care, Emergency Department, or Surgical Services.

Requirements

  • High School Diploma or Equivalent is required.
  • Legible handwriting and accurate spelling.
  • Must be able to read, write legibly, speak clearly and understand the English language.
  • Must possess the ability to make independent decisions when circumstances warrant such action in a timely fashion.
  • Must possess the ability to deal tactfully with staff, patients, family members, visitors, government agencies/personnel and the general public.
  • Must possess the willingness to work harmoniously with professional and non-professional personnel and the general public.
  • Meditech knowledge desired.
  • LMR knowledge desired.
  • Excel experience desired.
  • Must possess leadership ability and the willingness to work harmoniously with professional and non-professional personnel and the general public.
  • Must possess the ability to plan, organize, develop, implement, and interpret the program goals, objectives, policies, procedures etc of the QI/IC department.
  • Must maintain the care and use of supplies, equipment, etc and maintain the appearance of the department.
  • Must have patience, tact, cheerful disposition and enthusiasm.
  • Must possess the ability to seek out new methods and principles and be willing to incorporate them into existing practices.

Nice To Haves

  • Previous hospital experience preferred (0-1 year).
  • Surgical Services: experience scheduling surgical cases preferred.
  • Knowledge of medical terminology preferred.

Responsibilities

  • Prepares charts for new patients, including I&O sheets and maintaining appropriate forms.
  • Maintains adequate levels of chart packs and knowledge of chart locations.
  • Files lab and x-ray reports, records information on flow sheets, thins charts, and files overflow.
  • Prepares charts for discharged patients and forwards them to the Medical Records Department.
  • Maintains lists of patients on hold for lab, x-ray, or pre-op.
  • Begins referral forms by entering available clerical data.
  • Photocopies patient records when transferred to another health facility.
  • Obtains old records from Medical Records when necessary.
  • Completes daily dietary sheets and notifies the Dietary Department of changes.
  • Performs other necessary clerical duties or errands.
  • Receives and forwards incoming and outgoing telephone calls and messages accurately.
  • Provides assistance and direction to visitors.
  • Picks up and distributes patient mail for the unit.
  • Provides coverage of hospital phones, accepting transfers from the switchboard.
  • Familiarity with CODE 4 and Fire and Disaster plans.
  • Maintains a positive atmosphere and communication with all departments.
  • Transcribes doctor's orders to Kardex, requisitions, and communicates with appropriate departments.
  • Brings STAT orders to the attention of the charge nurse immediately.
  • Does not take verbal orders.
  • Assists with patient transport arrangements.
  • Maintains bulletin boards, blackboards, charting areas, storage, and conference areas.
  • Orders necessary supplies, including paper and form supplies.
  • May deliver specimens, equipment, and requisitions to appropriate departments.
  • Arranges for patient's personal valuables to be sent home or locked up.
  • Explains and enforces visiting policies and directs visitors.
  • Informs nursing staff to schedule time for x-ray, lab, or operative procedures.
  • Maintains confidentiality.
  • Prepares Emergency Room charts for admission.
  • Maintains adequate level of evacuation/CVA/MI admission packs.
  • Maintains log book on unit, forwarding charts for coding.
  • Assists ER receptionist with obtaining admitting information and performs registration when needed.
  • Coordinates calls to other facilities, arranging for information exchange and appointments.
  • Familiar with CODE BLUE, fire and disaster plans, trauma response team.
  • May answer C-Med radio, obtaining information and relaying to licensed staff.
  • Stamps and prepares pathology paperwork.
  • Maintains adequate supply of pathology packs.
  • Photocopies as directed by Clinical Coordinator.
  • Obtains old records from Medical Records for next day surgery.
  • Takes bookings for cases and documents information in schedule book.
  • Transcribes approved bookings and performs other related duties.
  • Enters information into OR log book.
  • Assists with patient charges.
  • Prepares and distributes next day schedule sheets.
  • Maintains any log or study as needed.
  • Ensures appropriate pre-op Lab work, H&P, EKG, and x-rays are in chart 48 hours pre-op or notifies Clinical Coordinator.
  • Performs data entry on computer entering OR time schedules and for OR database.
  • Transports patients via wheelchair and assists with stretcher transport.
  • Maintains and conducts inventories on a weekly basis of paper supplies.
  • Fills orders and issues supplies as ordered/requested.
  • Keeps all shelves and work areas clean.
