About The Position

The Heather’s House Unit Clerk supports the daily operations of the inpatient hospice unit by performing administrative, clerical, and communication duties that contribute to efficient, compassionate, and patient‑centered care. This role serves as a key liaison between clinical staff, patients, families, and visitors, ensuring smooth coordination of information and maintaining an organized care environment. This is a part-time position working 20 hours per week, Saturday and Sundays from 10 am - 9 pm.

Requirements

  • High school diploma or equivalent.
  • Prior experience in clerical, administrative, customer service, or receptionist experience, preferably in a healthcare setting (healthcare, hospice, senior care, or similar settings)
  • Strong interpersonal and communication skills.
  • Ability to remain calm and supportive in emotionally sensitive situations.
  • Proficiency with basic computer applications (Microsoft Office, email systems, scheduling software) and electronic health record (EHR) systems.
  • Demonstrated professionalism, discretion, and respect for confidentiality.

Responsibilities

  • Follows company policies to ensure consistent and compliant job performance.
  • Performs all other duties as assigned.
  • Greet and assist visitors, families, and patients in a sensitive and compassionate manner.
  • Answer and route phone calls promptly; relay messages to clinical staff as needed.
  • Update assignment board & create armbands
  • Update locators with new employees and when they stop working
  • Maintain and update patient charts, records, and documentation in compliance with regulatory and organizational standards.
  • Pulling together and break down paper charts.
  • Scan to medical reports once discharged.
  • Help with pre-admitting chart changes
  • Admit and discharge patients from Toast
  • Maintain honor light illumination
  • Act as a communication hub for the unit, ensuring timely relay of information between interdisciplinary team members.
  • Notify staff of new orders, consultations, or changes in patient status as directed.
  • Assist with coordination of team huddles, family meetings, and care conferences.
  • Provide guidance to visitors regarding unit procedures, policies, and safety practices.
  • Assist nurses and other clinicians with non-clinical tasks to maintain workflow efficiency.
  • Ensure patient rooms and common areas maintain an organized and welcoming environment.
  • Monitor unit equipment (phones, printers, workstations) and request maintenance when needed.
  • Maintain confidentiality and compliance with HIPAA and organizational standards.
  • Assist in coordinating non-emergent transport for HIA patients.
  • Order stock once inventory has been completed
  • Assist with admission, transfer, and discharge paperwork and processes.
  • Replenish paper reference material and consent forms stored in workroom
  • Manage unit supplies, including ordering, stocking, and maintaining inventory levels.
  • Support scheduling needs such as coordinating appointments, transport, or ancillary services.
