About The Position

Under the direct supervision of a licensed nurse, the Unit Clerk is responsible for performing and organizing clerical activities necessary to maintain the medical record, ordering office and medical supplies, and coordinating on-going activities within the assigned unit. The role involves assigning and placing patients in appropriate rooms according to age (Adult and Geriatric). The position requires the ability to work normal/scheduled hours, including holidays, call-backs, weeknights, weekends, and on-call. The employee must be prepared to participate in emergencies and community disasters as a designated disaster service worker. Additionally, the employee has an affirmative duty to report perceived misconduct and violations of laws, regulations, policies, or standards. The role demands working well under pressure, meeting deadlines, and maintaining cooperative behavior with colleagues and supervisors.

Requirements

  • High school graduate or equivalent.
  • Current and valid C.N.A. license.
  • Basic understanding of Medical Terminology.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence if required.
  • Ability to speak English, write legibly, and read, understand and follow directions.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages if required.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Basic computer skills.
  • Must have and maintain current BLS certification or obtain within orientation process, prior to hands-on patient care.

Nice To Haves

  • Successfully completed the Skills Lab and fundamentals of bedside care portion of their R.N. program.

Responsibilities

  • Perform all clerical duties related to computer entry and retrieval of data.
  • Maintain the medical record on each patient within the assigned unit, including assembling charts, transcribing orders for RN verification, and filing reports.
  • Ensure accuracy, completeness, and neatness of the medical record.
  • Assist with the paperwork for admissions, transfers, discharges, and deaths.
  • Answer phone calls promptly, screen, refer calls according to policy, and dispatch messages.
  • Initiate phone calls for nursing staff to Physicians, Nursing Administration, UR, etc.
  • Respond promptly and professionally to patient call lights and refer patient needs to appropriate staff.
  • Assist with the transportation of patients, equipment, and supplies as needed.
  • With active CNA certification, assist with delivering basic nursing care, utilizing policies and standards of care.
  • Accurately input orders for scheduling tests, x-rays, and procedures via the computer system and recheck reports to ensure all orders have been carried out.
  • Complete forms such as consents, transfers, deaths, AMA, and Occurrence Reports.
  • Alert the Charge RN of undue delays in patient care.
  • Monitor and coordinate the flow of visitors in and out of departments.
  • Ensure adequate and accurate inventory of all office, chart, and medical supplies, maintaining PAR levels.
  • Submit orders to appropriate departments prior to designated times.
  • Adhere to "National Patient Safety Goals for Hospitals" as defined by scope of practice.
  • Ensure documentation complies with established hospital policies and procedures.
  • Demonstrate dependability and professional image by adhering to dress code, reporting to duty on time, using benefit time appropriately, maintaining a safe and clean work area, and promoting patient and visitor satisfaction.
  • Demonstrate reverence for life, respect for inherent dignity and worth of each individual, and maintain patient privacy and confidentiality.
