About The Position

This position involves various clerical and administrative duties within a surgical clinic setting. The Unit Clerk is responsible for managing patient information in an electronic system, processing medical records, scheduling appointments, and coordinating communication within the department and with external facilities. The role also includes managing supplies, ensuring compliance with healthcare regulations like HIPAA and CMS standards, and participating in quality improvement initiatives. The position requires adherence to safety protocols and completion of mandatory training.

Requirements

  • Six (6) months direct work experience.
  • High School Diploma or Equivalency (HSE).
  • Valid American Heart Association (AHA) certification in Basic Life Support (BLS) and maintain certification.
  • Applicant must have a valid, unrestricted insurable driver’s license.
  • Resume and references are required.

Responsibilities

  • Inputs patient information into the electronic data system to generate a visit record.
  • Processes requests for medical records using the electronic data system.
  • Records and maintains accurate patient information.
  • Inputs visit-specific data into the electronic data system for each patient.
  • Verifies the completeness of visit records, ensuring adherence to required standards before forwarding to Health Information Management.
  • Schedules appointments for patients needing follow-up in the clinic or specialty areas.
  • Processes lab, x-ray, and ancillary department requests as ordered by the physician.
  • Functions as a telecommunication expert and coordinator for effective departmental communication.
  • Organizes, monitors, and displays the daily call schedule for all specialty and ancillary services.
  • Processes and forwards consultation requests submitted for the patient.
  • Performs or facilitates faxing of appropriate documents and records to other facilities or medical providers.
  • Ensures compliance with Privacy and Health Insurance Portability and Accountability Act (HIPAA) standards.
  • Communicates and coordinates with Purchased Referred Care to ensure adherence to transfer protocols and processes.
  • Assists with compiling accurate and complete records for transfers.
  • Processes departmental mail and routes correspondence.
  • Actively participates in the departmental Quality Assurance/Process Improvement Program.
  • Records and maintains daily census and acuity records.
  • Records and maintains disease-specific or visit-specific records.
  • Inputs and maintains requests for maintenance repairs into the electronic system.
  • Inputs, maintains, and coordinates requests for Bio-Med repairs.
  • Assists with the orientation of new staff.
  • Capable of functioning as a Records Management Resource for the department if assigned.
  • Organizes, inventories, orders, and maintains clerical supplies, forms, and other documents needed for the unit.
  • Orders and receives administrative supplies and supplementary patient care delivery supplies.
  • Utilizes the electronic ordering system.
  • Completes required documents for direct issue of supplies.
  • Adheres to established Hand Hygiene Standards.
  • Adheres to Universal Precautions and Infection Control protocols.
  • Ensures safe, accurate processing of all documents.
  • Ensures completion of or attendance at required annual mandatory trainings.
  • Completes all yearly Center for Medicare and Medicaid Services (CMS) required training by the indicated due dates.
  • Assists, promotes, and supports compliance with established Centers of Medicare and Medicaid Services (CMS) Standards.
  • Performs other duties as assigned.
