About The Position

This role involves providing cross-coverage for chart creation and utilizing the procedure pass in Epic. The Unit Associate I is responsible for completing preoperative paperwork and tasks, greeting patients, families, and visitors in the Surgical Family Waiting Area, and managing internal and external phone calls. The position requires confirming contact information, communicating the process regarding waiting, surgery, and recovery, and consistently checking Epic for patient arrival times. The associate will also call patients to communicate surgery time changes or inquire about their arrival time. Additionally, they will complete and organize necessary paperwork, provide explanations and answers to questions from patients, families, and visitors, and direct or escort individuals to other areas of the facility as needed. The role requires the ability to work variable shifts according to departmental needs, as the department is staffed from 5 am to 10 pm, Monday through Friday. There may be instances where the associate is asked to fill in at another site during severe staffing shortages. Maintaining a clean and organized workspace, monitoring the waiting area for needs such as cleaning, tidying, repair, and maintenance, and maintaining inventory supply and stocking units are also key responsibilities. Other relevant duties may be assigned.

Requirements

  • Must be able to work variable shifts according to the needs of the department.
  • The department is staffed from 5am through 10pm Monday through Friday.
  • There may be instances where you may be asked to fill in at another site when there are severe staffing shortages.

Responsibilities

  • Cross coverage for chart creation and use of procedure pass in Epic.
  • Completing needs for preoperative paperwork and tasks.
  • Greets patients, families and visitors to the Surgical Family Waiting Area.
  • Manages phones both internally and externally. Transfers calls appropriately.
  • Confirms family and visitor contact information.
  • Communicates process with regards to waiting, surgery and recovery.
  • Consistently check Epic for patient arrival times.
  • Calls patients to communicate surgery time changes.
  • Calls patients to question their arrival time.
  • Completes and organizes any necessary paperwork for patient, families, visitors, next date of surgery and preop.
  • Provides explanations and answers for any and all questions from patients, families and visitors to the area.
  • Directing people appropriately when they need to navigate to another area of the facility and/or possibly escorting them when they identify the need.
  • Maintain a clean and organized workspace.
  • Monitor any needs of the waiting area – cleaning, tidying, repair and maintenance.
  • Maintaining inventory supply and stocking units according to established procedures and standards.
  • Perform other relevant duties as assigned.
