About The Position

Under general direction, this role involves working with senior lead officers to manage larger trust relationships. The specialist will provide administrative and clerical support for executives, administrators, or managers to meet the goals and objectives of the Trust Company. Key responsibilities include setting up new accounts by ensuring all required paperwork is completed and entered into the trust accounting system, and closing accounts by reviewing paperwork and confirming data removal from the system. The role also entails preparing for and attending client meetings, executing communication plans with clients, and handling routine fiduciary duties when a client passes away. The specialist will take direction from the Senior Account Administrator on complex matters, perform annual accountings for court on Conservatorship and Estate accounts (subject to approval), and obtain necessary authorizations for distributions, purchases, and sales in non-discretionary accounts. Additionally, the role is responsible for annual reviews on assigned accounts, assisting with investment and administrative reviews, maintaining customer filings, organizing and archiving files, and taking a lead role in trust company seminars. Miscellaneous duties include document delivery, typing, data entry, anticipating the needs of the Senior Administrative Officer, accompanying administrators on client calls, and creating graphs and charts for presentations. The position requires demonstrating compliance with all bank regulations, staying updated on changes, and adhering to all Bank policies and procedures, including those related to Bank Secrecy Act, Regulation CC, Regulation E, and Bank Security. There is a possibility of coaching, mentoring, or training others as a subject matter expert. The role also emphasizes actively learning and fostering the Columbia corporate culture, taking initiative, and serving as a positive example. All transactions must be posted accurately and without direction on the trust accounting system, ensuring proper archiving of related documentation.

Requirements

  • 2-5 years of Trust Experience
  • Ability to operate various office equipment including personal computer, printers, fax machine, 10-key adding machine, multi-line telephone, copy machine, etc.
  • Solid spreadsheet and word processing skills, demonstrated ability to create graphs and complex Excel formulas and PowerPoint presentations for trust sales opportunities & seminars
  • Solid understanding of departmental or company goals and objectives and how they relate to the rest of the company and its business operations.
  • Demonstrated effective time management and organizational skills.
  • Effective interpersonal skills to relate to a variety of upper-level managers, executives, directors, customers, and employees; public relations skills; tact, diplomacy, and patience.
  • Ability to manage confidential information.
  • Ability to work on several projects simultaneously and with a variety of employees, managers, executives, etc.
  • Ability to work under pressure with constant interruptions.
  • Demonstrates compliance with all bank regulations for assigned job function and applies to designated job responsibilities.
  • Follows all Bank policies and procedures, compliance regulations, and completes all required annual or job-specific training.

Responsibilities

  • Manage larger trust relationships under the guidance of senior lead officers.
  • Provide administrative and clerical support for executives, administrators, or managers.
  • Ensure all required paperwork is completed for new account setup and entered into the trust accounting system.
  • Review all required paperwork for closed accounts and confirm appropriate information is deleted from the computer system.
  • Attend and prepare for routine client meetings on team-managed accounts.
  • Assist Senior Account Administrator in preparing for sensitive client meetings.
  • Execute communication plans with clients as necessary for account administration.
  • Assume responsibility for routine fiduciary duties connected with an account when a client dies.
  • Take direction from Senior Account Administrator on complex administrative matters.
  • Perform annual accountings for court on Conservatorship and Estate accounts, subject to Senior Account Administrator approval.
  • Obtain written authorizations and directions for distributions, purchases, and sales in non-discretionary accounts, subject to Senior Account Administrator approval.
  • Perform annual reviews on team-assigned accounts and assist with other investment and administrative reviews.
  • Maintain all trust company customer filings as instructed by the Account Administrator.
  • Organize and coordinate shipment of transfer and closed account files to storage archives.
  • Take the lead on trust company seminars, including preparing materials and serving as host/hostess.
  • Perform miscellaneous assignments such as document delivery, typing, and data entry.
  • Anticipate needs of the Senior Administrative Officer and prepare preliminary work on future projects.
  • Accompany Account Administrators on client calls as needed.
  • Create graphs and charts for presentations to existing and prospective clients.
  • Demonstrate compliance with all bank regulations and Bank policies and procedures.
  • Keep up-to-date on regulation changes.
  • Maintain a working knowledge of Bank's written policies and procedures regarding Bank Secrecy Act, Regulation CC, Regulation E, Bank Security, and other applicable regulations.
  • Potentially coach, mentor, or train others as a subject matter expert.
  • Actively learn, demonstrate, and foster the Columbia corporate culture.
  • Post all transactions on the trust accounting system accurately and without direction.
  • Ensure all transactions are processed accurately and according to client instructions.
  • Ensure all documentation related to cash transactions is appropriately archived and noted.
