About The Position

The Tax Resolution Specialist is responsible for the resolution of jurisdictional tax fund payments made on behalf of our clients to Federal (IRS), SSA, State, and Local agencies. This position requires sending and balancing electronic payment files and coupons, removing or adding payments prior to the creation and transmission of electronic files, reviewing reporting and taking appropriate action in the event of errors, completing workflows to initiate penalty and interest payments, and performing other related duties. The ability to follow specific requirements, remain compliant, and work within strict daily deadlines is essential. We're looking for a forward-thinking problem solver to support management and the team SME in transforming the way we work. This role will contribute to initiatives that modernize business processes, identify opportunities for automation, and leverage AI technologies to increase productivity, reduce manual effort, and improve operational effectiveness. Close proximity to the St. Petersburg office/city is preferred, as onsite preparation of manual checks may be required.

Responsibilities

  • Execute tax payment processing activities in accordance with all applicable jurisdictional requirements while maintaining strict compliance with SOX, SOC, and established internal control standards.
  • Research, interpret, and apply federal, state, and local agency payment requirements to ensure timely and accurate tax submissions.
  • Reconcile, validate, and transmit daily electronic payment and coupon files in accordance with established processing schedules and deadlines.
  • Process manual and reverse deposit requests, analyze exception reports, and resolve discrepancies prior to daily transmission cutoffs.
  • Monitor, reconcile, and verify daily file transmission totals to ensure accuracy and completeness.
  • Support payment operations by processing payment inquiries, amendments, voucher frequency changes, manually initiated payments, refunds, voucher deletions, and same-day wire requests.
  • Prepare, compile, route, and maintain documentation using electronic signature platforms such as DocuSign and document management systems while ensuring compliance with record retention requirements.
  • Deliver timely, accurate, and professional support in response to internal inquiries, maintaining a high standard of customer service and operational excellence.
  • Perform daily operational and audit control activities to ensure compliance with internal policies, regulatory requirements, and quality standards.
  • Collaborate with internal business partners, financial institutions, and external agencies via phone, email, Salesforce, and other communication channels to resolve payment-related issues and obtain required approvals.
  • Maintain operational metrics, performance data, and departmental reporting to support business objectives, compliance initiatives, and continuous process monitoring.
  • Provide operational support for the preparation, quality assurance review, and distribution of paper checks and payment packages, including secondary review and approval responsibilities as required.
  • Provide input on existing operational workflows to identify opportunities for increased efficiency, standardization, and risk reduction.
  • Support continuous improvement initiatives that streamline processes, reduce manual effort, and enhance operational effectiveness.
  • Help identify, evaluate, and test workflow automation and AI-enabled solutions to improve productivity, accuracy, compliance, and scalability.
  • Help develop and maintain process documentation, standard operating procedures, and training materials to support process consistency and knowledge transfer.
