Requirements

  • Bachelor's degree in a related field
  • 6+ years of trust administration experience, including working knowledge of trusts, estates, and fiduciary/individual tax matters
  • Self-starter who can problem-solve independently and adapt to the pace of a small organization
  • Experience with trust accounting systems and custodial platforms preferred

Nice To Haves

  • Certified Trust and Fiduciary Advisor designation strongly preferred

Responsibilities

  • Oversee new account openings, review trust instruments, and resolve questions with Account Managers
  • Administer a portfolio mix of IRAs, revocable and irrevocable trusts, and unitrusts
  • Verify system records for accuracy following account setup
  • Maintain account documentation and communications in the firm's document management system
  • Administer key account events including gifts, charitable contributions, estate transfers, UPIA elections, and share splits
  • Serve as point person on special administration projects, coordinating across internal departments
  • Review and approve client disbursements (utilities, taxes, insurance, personal expenses)
  • Conduct annual administrative reviews for compliance and track key milestones (beneficiary age thresholds, termination dates)
  • Oversee account closings and asset distributions, including termination schedules, final fee calculations, and outside Trustee confirmations
