About The Position

The Trucking Coordinator will exercise a high level of professionalism and confidentiality while coordinating trailer rotations, tracking trailers, easels, and trucks, and managing transportation expenses and schedules. This role involves coordinating tie-down procedures, quality control approval schedules, and arranging transportation for various materials and equipment. The coordinator will also assist in loading diagram development, facilitate group communications, and work with the Engineering Department to understand erection schedules and global demand for trucks, trailers, and equipment. Additionally, the role requires communicating repair specifics to the Maintenance Supervisor, providing transportation services for field operations, creating job folders, calculating global equipment demands, and coordinating dispatch for multiple plants. The position also involves other duties as assigned, with key interfaces including trucking leadership, engineering, production, quality control, labor and field workforces, vendors, dispatchers, and truck drivers. Key metrics include timely and accurate invoice processing and accurate scheduling data uploads.

Requirements

  • Possess thorough knowledge of various types of equipment used for transporting oversize loads.
  • Possess thorough knowledge of trailer systems.
  • Possess knowledge of restrictions and limitations related to heavy-haul transportation.
  • Exceptional communication skills, both written and verbal, as well as the ability to effectively listen and engage with all levels of the organization.
  • Ability to build strong relationships; engage and motivate teams representing diverse backgrounds and viewpoints; exceptionally collaborative.
  • Excellent organization skills to drive topics with multiple stakeholders/interests.
  • Problem solving skills that aim to remedy and prevent reoccurrence.
  • Comfortable escalating issues while maintaining positive relationships with team members and other organizations.
  • Able to exercise appropriate discretion when handling confidential and/or sensitive information.
  • Proficient with Microsoft Excel, and Microsoft Office Suite programs.
  • Possess thorough knowledge of Piece Tracker software.
  • High school diploma, or equivalent, required.
  • Minimum 10 years’ experience in a logistics environment.

Responsibilities

  • Coordinate trailer rotations by project and by plant for cost efficiency and optimal trailer availability.
  • Track trailers, easels, and trucks to ensure timely delivery to plant and to projects.
  • Coordinate, reconcile, track, and document transportation expenses.
  • Coordinate and document transportation schedules.
  • Coordinate and discuss tie-down procedures through various methods, including Tailgate Meetings.
  • Coordinate Quality Control approval schedules with truckers to optimize driver hours-of-service and timely deliveries to our projects.
  • Arrange transportation state and country-wide for miscellaneous materials, including but not limited to, grout, braces, dead men, plant equipment, and heavy equipment.
  • Assist in loading diagram development.
  • Facilitate group communications between project managers, dispatchers, and Loading Department heads, for each project.
  • Coordinate load, gear, and trailer returns.
  • Work with Engineering Department to understand erection schedules, import job-specific information into Piece Tracker to understand and communicate global demand of trucks, trailers, equipment, as well as loading manpower.
  • Communicate issues and repair specifics to Maintenance Supervisor.
  • Work with field foreman and engineers to provide transportation services for gear and miscellaneous materials.
  • Create job folders with various types of information to ensure trucking companies and project managers have the best possibility for success.
  • Host and/or participate in meetings, including but not limited to, Pre-Trucking, Post-Trucking, Safety, Trucking/Loading, and Field Contract.
  • Calculate global equipment demands and arrange transportation as necessary.
  • Dispatch coordination for multiple plants to multiple jobsites.
  • Other duties as assigned.
