About The Position

Yakima Valley College is seeking a part-time TRiO SSS Program Assistant to support the daily operations of the TRiO Student Support Services program. This grant-funded position serves approximately 200 low-income, first-generation students and students with disabilities. The assistant will work closely with the Director and Coordinator to support participants, maintain records, schedule appointments, and assist with referrals to campus resources. The college is an equity-focused, Hispanic Serving Institution committed to student success and innovative teaching.

Requirements

  • High school diploma or equivalent
  • Two (2) years of full-time clerical or administrative support experience, OR an equivalent combination of education and experience.
  • Proficiency in Microsoft Office applications, including Word, Excel, and Access.
  • Experience using student data or outcomes-tracking software.
  • Demonstrated ability to maintain accurate records and identify discrepancies or errors.
  • Experience working in a postsecondary or academic setting.
  • Prior experience with a federal TRiO program or comparable student support program.
  • Demonstrated ability to work effectively in a highly diverse and multicultural environment.
  • Strong leadership, team-building, and group facilitation skills.

  • Bilingual proficiency in English and Spanish preferred.

Responsibilities

  • Serve as the primary point of contact for TRiO SSS participants, providing information on program policies, services, activities, and eligibility.
  • Perform program outreach and public relations functions.
  • Compose and assist with correspondence, program materials, and communications related to TRiO SSS policies, procedures, and operations.
  • Edit materials for accuracy, clarity, readability, and consistency with grant language.
  • Schedule and monitor program activities to ensure alignment with TRiO SSS goals, objectives, and federal grant requirements.
  • Respond to questions and concerns regarding TRiO SSS services and student participation.
  • Maintain accurate and up-to-date TRiO SSS participant records, including eligibility documentation, participation logs, and student progress data, in compliance with FERPA and U.S. Department of Education TRiO guidelines.
  • Schedule appointments for students with the TRiO SSS Director and Coordinator.
  • Assist students with TRiO-related application, intake, and documentation processes.
  • Assist in the preparation of agendas and logistics for TRiO SSS workshops, orientations, seminars, and informational meetings.
  • Provide on-site and administrative support during events.
  • Generate TRiO-related reports, forms, and correspondence.
  • Assist with preparing, processing, and verifying documentation such as timesheets, purchase requisitions, and supply requests.
  • Utilize technology and student-tracking systems (e.g., Student Access, TRiO databases) for data collection, record maintenance, and reporting, including data uploads and documentation for the TRiO SSS Annual Performance Report (APR).
  • Maintain inventory of TRiO SSS equipment and materials (e.g., laptops, textbooks, instructional resources).
  • Monitor student check-out and return of items in compliance with program guidelines.
  • Support the implementation and monitoring of program improvements and operational changes to meet TRiO SSS performance measures, objectives, and grant outcomes.
  • Attend meetings, trainings, and professional development activities as required.
  • Perform other duties as assigned in support of the TRiO Student Support Services Program.
