About The Position

Our practice, Riverside Oral Surgery, is seeking an enthusiastic and experienced Treatment Coordinator to join our team! This is a unique and exciting opportunity for individuals passionate about Oral Surgery and committed to delivering outstanding care.

Requirements

  • High school diploma or equivalent required
  • Previous experience working in a specialty dental office environment required
  • Ability to work in a fast-paced environment and handle multiple tasks simultaneously
  • Excellent interpersonal and communication skills, with a compassionate and patient-centered approach
  • Strong organizational skills and attention to detail
  • Keen understanding of scheduling and financial systems
  • Proficiency in dental software and computer literacy

Responsibilities

  • Provide patients with information about treatment options and associated costs.
  • Act as a liaison between the Oral Surgeons and patients, gathering patient details, coordinating treatment plans with the Oral Surgeon, and presenting these plans to patients.
  • Assist in negotiating financial arrangements with patients.
  • Attend comprehensive exams to assess patient treatment needs; when necessary, also be present during re-care exams to gain insight into ongoing treatment requirements.
  • Accurately enter treatment plans with the appropriate coding into the electronic medical record (EMR).
  • Verify dental benefit eligibility, limitations, and provide payment estimates to assist in financial planning.
  • Escort patients to the consultation room, explaining their insurance coverage, including what’s covered and out-of-pocket costs.
  • Educate patients on their dental benefits, as needed.
  • Present case fees and available financial options, addressing any questions related to the procedure.
  • Ensure patients fully understand their treatment plan and resolve any concerns to encourage their commitment to proceeding with the treatment.
  • Create alerts in the EMR for Patient Care Coordinators detailing how treatment calculations were determined.
  • Document any approved discounts in the EMR to ensure the Billing Department is aware of the discounted components of the treatment plan and the reasons behind them.
  • Prepare the formal financial agreement, have the patient sign it, and scan into their file.
  • Organize and conduct a weekly meeting with the Oral Surgeon/s to review any outstanding cases requiring follow-up on treatment plans.
  • Maintain and update a recall list, following up with patients who haven’t scheduled an appointment within 3 weeks; ensure that anyone who cancels is added to the recall list.
  • Prepare and manage an unscheduled treatment report, sending letters to patients who have treatment plans, but haven’t scheduled in the past 3 months.
  • Perform any and all other duties as assigned.
