About The Position

The Treatment Coordinator is primarily responsible for ensuring patients understand and schedule necessary treatment. This role involves coordinating communications between doctors and patients, assisting with schedule management, handling patient inquiries (including insurance questions), and organizing/presenting treatment plans with financial obligations to gain patient agreement. The position may also require assisting with general front office duties.

Requirements

  • Legible handwriting for communications
  • Office experience desired

Responsibilities

  • Ensure patients understand and schedule necessary treatment.
  • Coordinate communications between doctors and patients.
  • Build and maintain a doctor/hygiene schedule.
  • Assist with patient inquiries, including insurance questions.
  • Organize and present patient treatment plans with financial obligations and obtain patient agreement.
  • Assist with general front office duties as needed.
  • Conduct patient consultations.
  • Calculate fees for treatment based on various fee schedules.
  • Assist patients with financing options, insurance questions, and treatment concerns.
  • Maintain and use tickler file and delayed treatment file.
  • Notify patients when pre-estimates come back and schedule appointments after making proper financial arrangements.
  • Prepare treatment consent forms, including surgical, endodontic, and general consents.
  • Record chart entries from phone or in-person conversations.
  • Manage doctor charts for treatment plans, treatment conferences, letters, and phone calls.
  • Prepare financial treatment plans and present plan options to patients.
  • Assist with consultation appointments as directed by the doctor.
  • Make financial arrangements with the patient after the doctor has left the consultation room.
  • Set up appointments for patients with specialists/general dentists and coordinate with their offices.
  • Track patient status in the system (scheduled treatment, deferred treatment, etc.).
  • Schedule patients for treatment after specialist/general dentist completion.
  • Take phone calls from patients or specialists/general dentists regarding treatment.
  • Meet with the doctor daily to review the schedule and important information.
  • Update insurance information on all patients.
  • Organize supporting materials for claim forms.
  • Assist the insurance coordinator with posting correct treatment codes for billing.
  • Verify patient benefit eligibility and dental treatment history.
  • Monitor and ensure all dental office equipment is working properly.
  • Participate in staff meetings.
  • Perform other tasks as assigned by the office manager.
