About The Position

The Travel Specialist II supports the DARPA Adaptive Capabilities Office (ACO) Front Office by coordinating domestic and international travel for approximately 30 ACO Government personnel, preparing travel authorizations and vouchers, and ensuring travel actions comply with Government travel policies.

Requirements

  • Minimum of four (4) years of experience coordinating domestic and international travel for federal Government clients
  • Hands on experience using the Defense Travel System to prepare travel authorizations and vouchers
  • Working knowledge of the Joint Travel Regulation, the Federal Travel Regulation, and FAR 31.205-46
  • Experience preparing supporting memoranda and itineraries for international travel, including U.S. Flag Air Carrier requirements
  • Strong written and verbal communication skills and proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint, Teams)
  • Strong organizational and time management skills with the ability to manage multiple travel actions in parallel
  • U.S. citizenship

Responsibilities

  • Coordinate domestic and international travel for ACO Government personnel by preparing travel authorizations and vouchers in accordance with DARPA guidelines and the Joint Travel Regulation using the Defense Travel System, with 95% of authorizations and vouchers submitted without errors that require correction
  • Draft and route additional memoranda and supporting documents required for official travel, including international travel itineraries and U.S. Flag Air Carrier justifications
  • Submit anticipated traveler requests through the ACO contractor travel dashboard at least 14 calendar days in advance for domestic travel and at least 30 calendar days in advance for international travel
  • Track travel expenditures against the allocated travel budget and provide updated travel plan information at least monthly to support reporting and Government review
  • Coordinate with travelers, supervisors, and the Government to gather complete and accurate travel information, including dates, destinations, purpose, and approving officials
  • Review travel claims and supporting receipts to confirm allowability under the Federal Travel Regulation, the Joint Travel Regulation, and FAR 31.205-46
  • Resolve travel issues including itinerary changes, voucher rejections, and reimbursement questions in a timely and professional manner
  • Maintain organized travel records on classified and unclassified systems and ensure critical travel documents can be located within 15 minutes
  • Communicate clearly and professionally with travelers, the Government, and contractor teammates while clearly identifying as a contractor at all times during meetings, calls, and written correspondence
  • Track recurring travel patterns and identify opportunities to improve travel coordination, voucher accuracy, and traveler experience
