This role involves administering the Company’s electronic travel management system, creating and maintaining user accounts, and assisting in preparing travel data for management reporting. The position requires monitoring the travel platform to ensure booking tools optimize compliance with the Company’s Travel Policy and utilizing platform tools to communicate travel-related news. A key aspect is forming a strong business relationship with the Company’s Travel Management account manager to optimize travel program benefits and stay updated on industry trends. Collaboration with Human Resources is necessary to manage system user accounts for guests, new hires, and transfers, ensuring contract and policy compliance. The role also coordinates and supports various tasks within the travel program, including tracking and managing travel rewards, negotiating rates and contracts with vendors, and forming relationships with airlines, hotels, and car rental companies. The Travel Coordinator will assist in evaluating and maintaining the Corporate Travel Policy, maintaining corporate travel reports, and preparing/coding the travel purchase card report. Staying updated on travel regulations is also a responsibility. As a Travel Program Lead, the individual will work with departments, acting as a point of contact for travel requests and ensuring communication with the Hospitality team for guest transportation. The role includes developing, implementing, and maintaining solutions for airline credits, ticket name changes, and refunds, as well as developing and managing corporate travel reporting and maintaining the travel department's Company intranet page. Additionally, the position provides support for special events bookings, assists the Guest Housing and Catering Manager when required, assigns accommodations, and schedules transportation for Company guests. Consultation on food and beverage needs for meetings is also part of the role, with a focus on meetings extending beyond four hours. Other duties as assigned may be required.

Requirements

  • 2-4 years related experience
  • High school diploma or equivalent
  • Very little to no travel
  • Overnight stays unlikely
  • Per 8-hour shift. Sit 7 hours and stand 1 hour.
  • Typical office environment (low noise level, limited exposure hot/cold temperatures, dust, fumes, and vibrations).
  • Regular interaction with others and performs a degree of independent work.
  • Infrequently lift 11-20 pounds.
  • Continuously grasp/grip (whole hand).
  • Physical and mental demands are akin to the majority of office positions with prolonged periods of sitting and prolonged use of a computer/keyboard.
  • Infrequent lifting, walking, and climbing stairs.
  • Occasional use of office equipment (copiers, printers, etc.).
  • Must be legally authorized to work in the United States.

Nice To Haves

  • Five to seven years related work experience.
  • Associate degree in Business, Hospitality, or related field.

  • Demonstrated professionalism with a high level of maturity and decorum to handle important phone calls and confidential information.

Responsibilities

  • Administer the Company’s electronic travel management system, including creating, updating, and maintaining user accounts.
  • Assist in preparing Company travel data for management reporting needs.
  • Monitor the Company’s travel platform to ensure booking tools are optimized for compliance with the Company’s Travel Policy.

  • Form a strong business relationship with the Company’s Travel Management account manager to optimize travel program benefits and stay up to date on trends within the travel industry.
  • Work closely with Human Resources to manage system user accounts for Company guests, new employee hires, or employee transfers.
  • Coordinate and support a variety of tasks within the travel program.
  • Assist in tracking, managing, and optimizing travel rewards.
  • Negotiate rates and contracts with travel vendors.
  • Form relationships with travel vendors such as airlines, hotels, and car rental companies.
  • Assist in evaluating and maintaining the Company’s Corporate Travel Policy.
  • Maintain corporate travel reports.
  • Prepare and code the Company’s travel purchase card report.
  • Stay up to date on travel regulations.
  • Work with departments and act as a point of contact to coordinate travel requests.
  • Ensure all travel needs are communicated to the Company’s Hospitality team for guest transportation.
  • Develop, implement, and maintain an effective solution to monitor airline credits, ticket names changes, and refunds.
  • Develop, implement, and manage corporate travel reporting.
  • Create, implement, and maintain the travel department's Company intranet page.
  • Support and assist with special events bookings.
  • Assist and provide back-up assistance for Guest Housing and Catering Manager when required.
  • Assign accommodations for Company guests and schedule transportation.
  • Consult with departments on food and beverage needs for meetings, with focus on meetings extended beyond four hours.
  • Perform other duties as assigned.
