This role involves administering the Company’s electronic travel management system, creating and maintaining user accounts, and assisting in preparing travel data for management reporting. The position requires monitoring the travel platform to ensure booking tools optimize compliance with the Company’s Travel Policy and utilizing platform tools to communicate travel-related news. A key aspect is forming a strong business relationship with the Company’s Travel Management account manager to optimize travel program benefits and stay updated on industry trends. Collaboration with Human Resources is necessary to manage system user accounts for guests, new hires, and transfers, ensuring contract and policy compliance. The role also coordinates and supports various tasks within the travel program, including tracking and managing travel rewards, negotiating rates and contracts with vendors, and forming relationships with airlines, hotels, and car rental companies. The Travel Coordinator will assist in evaluating and maintaining the Corporate Travel Policy, maintaining corporate travel reports, and preparing/coding the travel purchase card report. Staying updated on travel regulations is also a responsibility. As a Travel Program Lead, the individual will work with departments, acting as a point of contact for travel requests and ensuring communication with the Hospitality team for guest transportation. The role includes developing, implementing, and maintaining solutions for airline credits, ticket name changes, and refunds, as well as developing and managing corporate travel reporting and maintaining the travel department's Company intranet page. Additionally, the position provides support for special events bookings, assists the Guest Housing and Catering Manager when required, assigns accommodations, and schedules transportation for Company guests. Consultation on food and beverage needs for meetings is also part of the role, with a focus on meetings extending beyond four hours. Other duties as assigned may be required.
