About The Position

The Travel Coordinator is responsible for coordinating company employees' travel needs, including Headquarters (Reston, VA) and overseas offices. This role involves scheduling hotel, flight, and car rentals, and preparing itineraries. The Travel Coordinator will also assist with American Express processing and other travel-related documentation, ensuring that travel needs are met within the company travel budget. Key duties include reviewing travel expenses, processing accounts payable/receivable, ensuring American Express credit card statements have proper backup and approvals, and maintaining archives. Additionally, the role involves liaising with and negotiating with vendors for office supplies and equipment, managing day-to-day facilities operations, assisting the CEO with travel, and providing backup for the reception area.

Requirements

  • Bachelor's degree.
  • Three to five years of relevant experience supporting senior-level executives with a focus on international travel arrangements.
  • Fluency in English (written and spoken).
  • Strong interpersonal and communication skills.
  • Reliability and flexibility with schedule.
  • Demonstrated proficiency in MS Office Suite.
  • Detail-oriented with the ability to manage deadlines.
  • Professional demeanor suitable for a fast-paced environment.

Nice To Haves

  • Fluency in Spanish or French is highly desirable.

Responsibilities

  • Manage daily travel activities and related expenses in coordination with the CEO and Corporate Treasurer.
  • Ensure all travelers submit travel requests and receive authorizations from the CEO and Corporate Treasurer.
  • Verify that all expense reports are accompanied by corresponding receipts.
  • Coordinate complex travel arrangements for the CEO and other assigned travelers.
  • Collaborate with the company travel agent to secure cost-effective travel arrangements.
  • Reconcile American Express travel and miscellaneous charges.
  • Create and maintain accounting files and archives.
  • Address office-related issues, including repairs, with building management.
  • Maintain strict confidentiality of employee data and business activities.
  • Conduct occasional research duties for the CEO.
  • Perform other duties as assigned by the CEO and Corporate Treasurer.
