About The Position

We’re hiring for our client, a fast-paced luxury travel and aviation company, seeking a Travel Concierge & Operations Specialist to support high-level travel coordination and real-time operations. This is a high-speed, execution-heavy role — not routine administrative work. You’ll coordinate complex travel logistics, manage live operational requests, and deliver a seamless white-glove client experience across every interaction. Requirements

  • Background in one or more of the following: Travel coordination, Operations or logistics, Concierge or client services, Luxury hospitality, High-touch or white-glove environments.
  • Ability to manage multiple real-time requests simultaneously.
  • Strong organizational and operational execution skills.
  • Excellent written and verbal English communication.
  • High attention to detail and accuracy.
  • Comfortable operating in fast-paced environments.
  • Extremely detail-oriented and process-driven.
  • Stays calm under pressure in high-stakes situations.

Responsibilities

  • Coordinate complete travel logistics including flights, ground transportation, hotels and accommodations, and VIP and special requests.
  • Ensure every detail is executed accurately and efficiently.
  • Track schedules, bookings, and client requirements in real time.
  • Maintain flawless operational execution with minimal oversight.
  • Handle live requests from clients, passengers, and internal teams.
  • Manage last-minute changes without disrupting the client experience.
  • Prioritize multiple urgent requests simultaneously.
  • Maintain composure and accuracy in fast-moving situations.
  • Deliver premium, high-touch service in every interaction.
  • Anticipate client needs proactively.
  • Coordinate luxury services including catering, luxury hotels, and executive transportation.
  • Maintain polished, professional, and confident communication.
  • Liaise with operators, vendors, hotels, and internal teams.
  • Ensure all partners maintain white-glove service standards.
