About The Position

We are seeking a highly organized and detail‑oriented Transportation Compliance Specialist to centralize and oversee all regulatory, tax, and documentation compliance for our fleet operations. This role ensures full adherence to federal, state, and local transportation regulations while managing critical compliance programs such as DOT, IFTA/IRP, HVUT, Clearinghouse, insurance, and risk management. This position is ideal for someone who thrives in a structured environment, understands transportation regulations, and can build a unified compliance system across multiple locations.

Requirements

  • Experience in transportation compliance, fleet management, or a related regulatory role.
  • Strong knowledge of DOT, FMCSA, IFTA, IRP, HVUT, and motor‑carrier regulations.
  • Exceptional organizational and documentation‑management skills.
  • Ability to interpret and apply regulatory requirements.
  • Strong analytical, reporting, and problem‑solving abilities.

Nice To Haves

  • Experience with compliance software, fleet‑management systems, or tax‑reporting tools preferred.

Responsibilities

  • Maintain full compliance with FMCSA and DOT regulations, including driver qualification files, hours‑of‑service, and vehicle safety requirements.
  • Develop, maintain, and execute a DOT audit checklist; prepare for internal and external audits.
  • Manage FMCSA Clearinghouse responsibilities, including pre‑employment queries, annual checks, and reporting.
  • Track and manage Medical Cards (Med Cards), renewals, and documentation.
  • Ensure compliance with PERS (Personnel/Employee Record System) requirements related to transportation.
  • Oversee all vehicle registrations, titles, plates, and licensing for company vehicles.
  • Manage and submit MCS‑150 updates and other federal filings.
  • Centralize motor carrier certifications, ensuring consistent processes across all locations.
  • Maintain compliance tracking for support vehicles, not just primary fleet assets.
  • Ensure accurate and timely management of all legal documentation.
  • Prepare and file IFTA fuel tax reports and maintain supporting documentation.
  • Manage IRP apportioned registration renewals and reporting.
  • Oversee Heavy Vehicle Use Tax (HVUT) filings and payments.
  • Support and manage transportation‑related company tax filings.
  • Maintain and distribute insurance cards for all vehicles.
  • Oversee insurance claims, ensuring timely reporting, documentation, and follow‑up.
  • Collaborate with internal teams to identify compliance risks and implement corrective actions.
  • Manage fuel card programs, including issuance, monitoring, fraud prevention, and reconciliation.
  • Ensure fuel usage aligns with IFTA reporting and internal controls.
  • Develop and maintain a centralized compliance system for all transportation‑related documents.
  • Standardize compliance processes across all company locations.
  • Maintain digital and physical records in accordance with regulatory retention requirements.
  • Partner with operations, HR, safety, and finance teams to ensure compliance across all transportation activities.
  • Provide training and guidance to internal teams on compliance requirements and best practices.
