About The Position

The Division of Student Affairs & Enrollment Management is seeking a Student Services Professional III, also known as a Transfer Success Counselor. This role involves reviewing academic records, making admissions decisions for transfer applicants, and developing/executing outreach and recruitment plans. The counselor will engage with prospective students through various events and communication channels, provide advising and counseling, and utilize resources to assist students in transferring to California State University Channel Islands (CSUCI). Key responsibilities include coordinating mentorship programs, managing transfer agreements, and ensuring student eligibility for the Transfer Success Pathways program. The position also involves evaluating admissions files, responding to inquiries, and potentially training student assistants. This role requires a proactive approach to student support and a commitment to facilitating a smooth transfer process.

Requirements

  • Graduation from a four-year accredited college or university in a related field.
  • Upper division or graduate coursework in counseling techniques, interviewing, and conflict resolution (if job-related).
  • Equivalent of three years of progressively responsible professional student services work experience.
  • Fundamental written and oral communication skills.
  • Sound foundation in grammar, spelling, and punctuation.
  • Ability to understand standard office procedure.
  • Ability to learn office technology systems.
  • Ability to perform basic arithmetic calculations.
  • Typing and keyboard skills.
  • Demonstrated ability to create and foster positive working relationships with administrators, faculty, staff, students, student organizations, and public and private agencies.

Nice To Haves

  • A master’s degree in a job-related field may be substituted for one year of experience.
  • Preferred experience in evaluating admissions files and accurately determining admission eligibility.
  • Working knowledge of the practices, procedures, and activities of student recruitment.
  • Ability to create presentations using related software.
  • Familiarity with office-related software for word processing and creating spreadsheets.
  • Knowledge of project management is highly recommended.
  • Possession of a valid California driver’s license.
  • Access to a reliable vehicle for transportation.
  • Ability to work frequent evenings and weekends.
  • Ability to travel overnight on business trips.
  • Ability to lift a minimum of 20 pounds (primarily in the form of recruitment materials).

Responsibilities

  • Independently review and analyze a high volume of academic records and transcripts to make admissions decisions for transfer applicants based on established policies and codes.
  • Collaborate with leadership to create and execute outreach and recruitment plans for the Transfer Success Pathways program and local community colleges.
  • Engage with prospective students by organizing outreach events, scheduling appointments, and communicating via email and text.
  • Recruit students and evaluate admission and enrollment requirements for the Transfer Success Pathways program.
  • Provide advising, counseling, and assessment of student progress within the Transfer Success Pathways program.
  • Utilize resources such as Transfer Evaluation System (TES), ASSIST, GE Breadth, associate degree for transfer (ADT), and Digital Transfer Planner to assist students.
  • Conduct ongoing follow-up meetings with program participants to ensure they are on track for transfer to CSUCI.
  • Coordinate and support Student and Faculty Mentorship programs for Transfer Success Pathways students.
  • Create work plans and carry out day-to-day assignments without immediate direction.
  • Review Transfer Student Pathways enrollment and continuously verify student eligibility for the program.
  • Manage the setup and maintenance of campus-specific information in Transfer Planner and Transfer Success Pathways agreements.
  • Initiate visits at community colleges, high schools, community-based organizations, and regional fairs for recruitment.
  • Advise prospective students on admission and enrollment requirements for the Transfer Success Pathways program.
  • Maintain program descriptions and other information in the Digital Transfer Planner.
  • Participate in the organization and delivery of on-campus recruitment programs, including information sessions and admitted student events, which may involve evenings, weekends, and overnight travel.
  • Advise, counsel, and respond independently to inquiries from prospective students and their supporters regarding admission requirements, application procedures, and the enrollment process.
  • Interact with transfer centers at local community colleges to ensure adequate support for Transfer Success Pathways students.
  • Assist prospective students in developing a plan to meet their Transfer Success Pathways enrollment goals and explain relevant rules and regulations.
  • Work with students to ensure they are following their course paths as outlined in the Digital Transfer Planner.
  • Collaborate with on- and off-campus partners to disseminate admissions information and update counselors on the program and enrollment data.
  • Represent the California State University system by making presentations on application workshops, educational opportunities, and support services.
  • Attend professional development trainings and meetings, and actively participate in unit meetings and planning retreats.
  • Apply knowledge of student records to determine provisional and final admissibility using established criteria and procedures.
  • Gather and analyze data, use logical reasoning, and draw valid conclusions to determine if an applicant or admitted student meets admission and enrollment requirements.
  • Utilize technology including PeopleSoft Student Information System, TSP-Liaison platform, Webadmit Application system, Digital Transfer Planner, and Slate CRM.
  • Collaborate with other offices to assist students in navigating the admission and enrollment process.
  • Assist in the development and editing of communications and systems to streamline the admissions and enrollment process.
  • Evaluate student progress towards fulfilling transfer eligibility within the program.
  • Advise students on alternative paths to achieving Transfer Success Pathways eligibility.
  • Communicate with students via calls, emails, and text messages to follow up on incomplete admission files and remind them of deadlines.
  • Assist in training and providing direction to student assistants responding to admissions and enrollment inquiries.
  • Provide advising, counseling, analysis, and assessment for students completing degree requirements.
  • Assist with other admissions and recruitment related functions and other duties as assigned.
