About The Position

The Transfer Process Specialist provides essential administrative and operational support for domestic undergraduate transfer evaluation and articulation. This role ensures the accurate, efficient, and timely processing of transfer credits in alignment with university policies. The Specialist serves as a key coordinator for the transfer credit workflow—from initial course articulation to student record validation—while providing technical and procedural guidance to students, faculty, and admissions staff. By maintaining the integrity of transfer data in Banner, the Specialist supports the University’s commitment to a seamless transition for transfer and non-traditional students.

Requirements

  • Bachelor’s degree in a related field required.
  • A High school diploma plus two additional years of work experience may substitute for Bachelor’s degree, at the rate of two years of education is equivalent to one year of work experience.
  • Minimum of 1 year of experience in transfer evaluation, registrar services, or student records management.
  • Strong proficiency in Banner (or a similar Student Information System) with specific experience in articulation or transfer modules.
  • Exceptional attention to detail and the ability to interpret complex academic policies and accreditation standards.
  • Strong interpersonal and communication skills to effectively explain technical credit evaluations to students, parents, and faculty verbally and in writing.
  • Proven ability to manage high volumes of data and meet a 24-hour processing standard during peak cycles.
  • Proficiency with Microsoft Office (specifically Excel), document imaging software, and virtual collaboration tools.
  • Successful completion of a pre-employment background check.
  • Persons offered employment in this position will be required to provide official education transcripts for degree verification purposes.

Responsibilities

  • Performs transcript evaluations and awards transfer credit, ensuring consistent application of established policies to fulfill degree requirements.
  • Monitors Transfer Credit Reports and validates course input against official transcripts to ensure 100% accuracy.
  • Facilitates the Pre-USD Appeal process by acting as a liaison between students, faculty, and the Articulation Officer.
  • Conducts ad-hoc evaluations for student-athletes, military-connected students, and readmitted students, including processing AP, IB, and CLEP results.
  • Maintains Banner data for articulation agreements (e.g., IGETC) and partner institutions.
  • Identifies workflow bottlenecks and recommends improvements to the Senior Transfer Specialist to enhance processing speed and data integrity.
  • Enters and maintains articulation records in Banner for courses approved by the various Articulation Officers across campus (College of Arts & Sciences, School of Business, etc.).
  • Maintains core attributes in the system as approved by the Core Curriculum Committee.
  • Reviews articulation entries to ensure alignment with USD’s core curriculum and accreditation standards.
  • Provides Banner system guidance and troubleshooting support to staff involved in articulation entry.
  • Counsels prospective and enrolled students regarding their transfer credit reports via phone, email, or in-person.
  • Updates transfer work received through the Petition to Transfer Credit workflow and manages document imaging/indexing in Xtender.
  • Analyzes complex transfer cases (e.g., split-unit solutions) to determine appropriate coding in Banner.
  • Proactively communicates with students regarding missing final transcripts or revised test scores (AP/IB).
  • Assists with other operational duties, including processing enrollment verifications, admission application processing, and handling incoming correspondence.
  • Represents the transfer processing perspective on interdepartmental task forces or committees as assigned.
  • Supports campus-wide initiatives such as Grad Fest and transfer student orientation events.
