About The Position

The Transfer Evaluation Specialist, reporting to the Assistant Registrar, is responsible for evaluating transfer credit for undergraduate and graduate students at Wheaton College. This role supports prospective, new incoming, and transfer students, and may involve providing transfer advising services. The position collaborates with various offices including Admissions, Academic Advising, Academic & Institutional Technology, Global Programs and Studies, and academic departments. This is a full-time, 12-month position with an annual salary of $52,000 - $55,000, requiring occasional evening and weekend hours.

Requirements

  • Bachelor’s degree required.
  • 2 years of experience within an administrative office setting, preferably higher education.
  • Working knowledge of Microsoft Office suite is necessary.
  • Effective oral and written communication skills.
  • Ability to interact professionally and effectively with faculty, students, administrators, and staff.
  • Excellent attention to detail.
  • Ability to organize and monitor data.
  • Ability to think critically.
  • Proven self-starter and able to work independently and as part of a team.
  • Must be able to handle sensitive, confidential information in a mature, professional manner and be familiar with FERPA.

Nice To Haves

  • Previous Registrar’s Office experience desired.
  • Working knowledge of relational databases is desired; Banner, Degree Works, and Slate experience preferred.

Responsibilities

  • Receive transcripts and evaluate transfer credits for undergraduate and graduate students, in collaboration with faculty as needed.
  • Apply transfer credits to student records for both undergraduate and graduate students.
  • Provide transfer credit information to advisors for sharing with prospective and admitted students.
  • Assist faculty and the Global Programs and Studies Office with proactive evaluation of transfer credits for domestic and off-campus study abroad programs.
  • Maintain an online database of transfer evaluation decisions (Transfer Evaluation System/Transferology) for domestic institutions and study abroad/off-campus programs.
  • Provide training for admissions and advising staff on institutional transfer databases and aids.
  • Review and process undergraduate Transfer Credit Agreements and Study Abroad Transfer Credit Agreements, in collaboration with faculty.
  • Evaluate courses and respond to requests from students to take courses through the online Acadeum consortium program.
  • Manage the Course Review petition process for re-evaluation of Christ at the Core transfer credit decisions.
  • Process transcripts for students participating in the Liberal Arts Engineering, Liberal Arts Nursing, and approved study abroad off-campus programs.
  • Process students’ credit by examination, competency equivalencies, and the completion of other non-course requirements.
  • Assist with the preparation of teach-out agreements and transfer articulation agreements for students from other institutions.
  • Utilize document management system for maintaining student records per the guidance from the Registrar’s Office.
