About The Position

The Program Coordinator I for Transcripts and VA Services drives efficient, compliant, and student-centered academic records operations by optimizing enterprise technologies and cross-functional collaboration to manage transfer credit, military education benefits, transcript processing, and reporting. This role integrates data across CRM, SIS, document management systems, and external platforms. Through intentional and continuous process improvement and innovation, the position enhances service delivery, strengthens institutional effectiveness, and supports diverse student populations.

Responsibilities

  • Manages the intake process for advance standing credit and high school, college, and military transcripts
  • Determines validity and transferability of transcripts according to state law and College policy
  • Processes transcript data into TriView, the College CRM, the Banner College SIS, and the Soft Docs document management system for students seeking degrees or college transfer and for participants in the Corporate and Community Education programs
  • Regularly communicates with College-wide deans and academic departments about inquiries, issues, and training needs regarding the evaluation of transfer credit
  • Supports students through responding to daily email and phone call inquiries regarding their transcripts
  • Assigns transcript processing to Registrar's Office staff as high volume demands in coordination with the assistant registrar
  • Serves as primary support and advisor for veterans, active-duty service members, and their dependents related to the access and use of their military education benefits
  • Maintains enrollment and course data for this special population in the Banner SIS and reports on it in compliance with federal and state regulations
  • Completes required state and federal VA compliance training for SCO and trains Registrar's Office staff support
  • Collects required educational records and serves as the College representative during required VA Compliance Surveys
  • Coordinates the Registrar's Office responsibilities for state-sponsored initiatives that relate to this position’s primary duties, including reverse transfer strategies and maintenance of the statewide transfer credit online tool
  • Maintains functional expertise and performs training in utilizing the online ACE Military Guide and similar resources to support staff, faculty, veterans, active-duty military, and dependents of service members who utilize federal and state platforms that foster the transfer of college credit
  • Identifies, recommends, and implements proposed operational improvements in partnership with the assistant registrar and registrar
  • Serves as Registrar's Office representative campus-wide on committees, task forces, meetings, or projects that relate to this position’s primary duties
  • Participates in professional development and required/voluntary training to foster currency with new platforms, tools, and methodologies that are standard to this position
  • Complies with federal and state laws that regulate Registrar's Office operations
  • Serves as support for other Registrar's Office operations and services as assigned by the assistant Registrar or registrar
