About The Position

The primary role of this position is to assist the real estate brokerage and resort real estate sales associates throughout the entire real estate transaction through close of escrow. Manage the company’s transaction file systems in accordance with IREC regulations and process all transactions.

Requirements

  • High School Diploma
  • Bachelor’s Degree
  • Computer Skills Including Familiarity with Microsoft Office, Form Simplicity, MLS websites
  • Minimum 2 years experience in real estate transaction coordination and office compliance
  • Previous experience working in a Real Estate office
  • Previous experience with MLS, preferable Mountain Central MLS and/or Intermountain MLS
  • Experience with Form Simplicity, CRMs, and Microsoft Office suite of products
  • Excellent communication skills
  • Attention to detail, ability to multitask and prioritize workload
  • Discretion and confidentiality

Nice To Haves

  • Idaho Real Estate License preferred but not necessary

Responsibilities

  • Oversee all aspects of sellers’ transactions from initial contract to executed purchase agreement.
  • Obtain all necessary signatures on listing agreements, disclosures, and other necessary real estate contracts.
  • Coordinate transaction documents with co-brokers.
  • Submit all necessary documentation to broker, title company, lender, and appraisers.
  • Track transaction deadlines and documents and ensure all deadlines are met with agents
  • Create bi-weekly listing and transaction updates for Sales Meetings.
  • Consult and coordinate with sellers and agents all property photos, staging, repairs, cleaning, and access requirements.
  • Input all listing information into MLS and marketing websites and update as needed.
  • Balance, reconcile and print Trust Account Reports in accordance with regulation.
  • Oversee Trust Accounts.
  • Utilize Lasso Database Software for both registrants and inventory.
  • Maintain transaction files in accordance with regulation.
  • Process real estate transactions including closings, offers, rejections/terminations, listings, and withdrawals.
  • Request/Deposit/Disperse and handle earnest money.
  • Disburse transaction reports for sales agents.
  • Manage Company quality documentation including sales agent licensure, insurance, tax liabilities, procedures, job descriptions.
  • Review paperwork submitted by sales agents for compliance.
  • Perform regularly scheduled internal audits.
  • Coordinate company audits with IREC.
  • Maintain records according to regulation.
  • May be required to perform additional duties as necessary.
