About The Position

The Training & Development Program Coordinator is a full-time position that supports the development, coordination, and delivery of Chicago Jobs Council’s Capacity Building & Training programming. This position reports to the Training and Development Program Manager and plays a vital role in coordinating logistics, contracts, materials, data collection, evaluation, marketing, and communication for CJC’s public and customized workforce development trainings, technical assistance, and communities of practice.

  • 2–3 years of program or project coordination in a nonprofit, training, or workforce development setting.
  • Strong administrative and logistics skills, including scheduling, invoicing, and event coordination.
  • Experience with data collection and evaluation tools, including surveys and basic dashboard reporting.
  • Comfort with virtual platforms (e.g., Zoom, Google), CRM/database systems (e.g., NEON or similar) and project management software (e.g., Asana or similar).
  • Clear written and verbal communication skills, including client support and marketing content creation.
  • Collaborative mindset with experience working across teams, partners, or external facilitators.

Responsibilities

  • Training & Project Coordination: Organize logistics for all public, customized, and cohort-based trainings, including communicating with attendees, preparing & distributing materials, confirming guest facilitators, and in-person setup, as needed; and support the recruitment and coordination of guest speakers, facilitators, and other content experts.
  • Community of Practice Coordination: Organize logistics for program Community of Practice meetings; assist with participant communications before and after; prepare materials and take notes; arrange location and refreshments and support any follow-up, as needed.
  • Data Collection & Evaluation: Record and collect data from training evaluation tools, monitor performance goals and outcomes, build metrics dashboards, generate reports and support grant reporting.
  • Administrative Support: Provide administrative support to the Capacity Building Team, including preparing, processing, and maintaining external facilitator, custom training and technical assistance contracts; initiate and track training-related invoices and payments; maintain accurate and timely records for attendees, trainings, meetings and program documentation; and assist with general team administrative tasks.
  • Technical Assistance: Provide technical support for virtual and in-person trainings; respond to information requests from registrants, providers, administrators, funders and other stakeholders and liaise with platforms like NEON to resolve system issues that registrants may face when registering for programs and events.
  • Client & CRM Support: Handle registrant and client inquiries, troubleshoot CRM issues, coordinate with reps, and maintain help documentation for future use.
  • Marketing & Communications: Share out CJC materials and information to the workforce development ecosystem to inform and educate. Identify updates needed for the webpage and communicate those updates and changes to MarComms.
