About The Position

The Trailer Pool & Yard Operations Coordinator manages the daily movement, availability, and organization of carrier trailers across the Dallas operation. This role coordinates spotter dispatch, reviews yard checks, identifies trailer and yard exceptions, and communicates priorities to carriers, yard personnel, transportation teams, and site leadership. The ideal candidate is organized, safety-focused, comfortable working in a fast-paced yard environment, and able to turn yard information into clear operational decisions.

Requirements

  • Two or more years of experience in yard operations, transportation, dispatch, fleet coordination, logistics, or a related environment.
  • Experience coordinating trailer movements, yard activity, drivers, spotters, or carrier operations.
  • Ability to read and interpret yard checks, trailer status reports, dispatch queues, and operational schedules.
  • Strong organizational skills and the ability to manage multiple priorities in real time.
  • Clear written and verbal communication skills.
  • Proficiency with email, spreadsheets, radio communication, and transportation or warehouse-management systems.
  • Ability to work on-site in a yard and warehouse environment, including exposure to outdoor conditions, noise, and changing weather.
  • Ability to work the assigned schedule, including weekends, holidays, or variable shifts when required by operations.
  • High school diploma or equivalent required; additional logistics, transportation, or operations training is a plus.
  • The role requires accurate interpretation of trailer counts, inventory/status records, schedules, dispatch queues, and operational performance information.
  • Ability to prioritize and adjust yard moves in real time as conditions change.
  • Ability to investigate discrepancies, identify operational constraints, determine appropriate escalation, and follow issues through to resolution.

Nice To Haves

  • Experience working with common-carrier trailer pools or dedicated transportation operations.
  • Familiarity with yard-management systems, transportation-management systems, or dock scheduling tools.
  • Experience dispatching spotters or coordinating hostler activity.
  • Knowledge of trailer identification, equipment status, yard safety, and transportation compliance practices.
  • Experience using spreadsheets to track inventory, exceptions, trends, or operational performance.
  • Bilingual English/Spanish communication skills are a plus.

Responsibilities

  • Monitor trailer inventory, location, status, and availability across assigned carrier pools.
  • Coordinate trailer supply with inbound, outbound, appointment, and operational needs.
  • Identify empty, loaded, damaged, out-of-service, or misplaced trailers and drive timely resolution.
  • Maintain accurate trailer-pool records and escalate shortages, aging equipment, or recurring carrier issues.
  • Coordinate with carriers and internal transportation teams on trailer arrivals, pickups, releases, and swaps.
  • Support trailer utilization and reduce avoidable detention, yard congestion, and equipment dwell time.
  • Dispatch yard spotters based on dock priorities, trailer moves, live loads, door availability, and operating conditions.
  • Sequence and prioritize moves to support safe and efficient warehouse and transportation operations.
  • Communicate assignments clearly through the approved radio, phone, or yard-management systems.
  • Monitor open move requests and follow through until each move is completed or properly handed off.
  • Adjust dispatch priorities as conditions change, including late arrivals, blocked doors, equipment issues, or urgent customer needs.
  • Partner with spotters, dock teams, security, and transportation personnel to resolve movement constraints.
  • Read and review scheduled yard checks for completeness, accuracy, and operational exceptions.
  • Compare yard-check information with trailer-pool records, appointments, dock activity, and known movements.
  • Investigate discrepancies such as missing trailers, incorrect locations, unidentified equipment, blocked doors, and stale status updates.
  • Create and communicate a clear action list for unresolved yard exceptions.
  • Escalate safety risks, service disruptions, equipment concerns, and capacity constraints promptly.
  • Maintain shift notes and provide accurate handoffs to the next shift or operating team.
  • Serve as a central point of contact for Dallas yard activity during the assigned shift.
  • Provide timely updates to operations leadership, warehouse teams, carriers, dispatch, and transportation partners.
  • Build productive working relationships with carriers, carrier representatives, spotters, drivers, and internal stakeholders.
  • Participate in daily operating reviews and recommend improvements to trailer and yard processes.
  • Follow all company, customer, site-security, and yard-safety requirements.
