About The Position

The Traffic Assistant supports daily transportation and logistics operations by coordinating shipping documentation, maintaining transportation records, communicating with drivers, carriers, customers, and internal teams, and ensuring the timely flow of delivery information. This position plays a critical role in supporting efficient transportation services through accurate processing of MTRs, Bills of Lading (BOLs), COD documentation, carrier payment paperwork, purchase orders, and related logistics records.

Requirements

High School Diploma or GED equivalent required.
Minimum 2-4 years of prior fleet dispatch experience and must be familiar with standard concepts, practices, and procedures within a distribution center.
Advanced knowledge of Microsoft Office, particularly Excel.
Excellent verbal, written, and interpersonal skills.
Highly organized individual with a commitment to consistent attention to detail.
Flexibility and adaptability to assume additional responsibilities and accommodate customer requests.
Ability to work independently, often under pressure/situations within a team environment.
Ability to exercise discretion and independent judgment to perform a variety of tasks.
Ability to build business relationships and collaborate effectively.
Must be able to interact with all levels of management.
Must be flexible and willing to work “off schedule” on occasion.

Nice To Haves

Familiarity with industrial services or distribution operations preferred.
Proficiency in Spanish language a plus.
Experience in flatbed operations and load securement a plus.
Experience with dispatching software a plus.
Knowledge of StelPlan a plus.
Knowledge of OnBase document management a plus.

Responsibilities

Performs daily administrative and clerical support for the Traffic/Logistics Department to ensure accurate and timely completion of transportation documentation.
Retrieves and provides MTRs (Material Test Reports) for driver manifests and fulfills MTR requests from drivers, Sales, and customers.
Verifies loading manifests and updates BOLs as needed.
Provides accurate and timely delivery status and ETA updates to customers, Sales, and internal departments.
Coordinates and documents COD collections, including collecting checks/payments received through drivers and carriers and ensuring proper documentation and processing.
Collects, reviews, scans, and files all Bills of Lading (BOLs) from company drivers and outside carriers following completed deliveries into OnBase.
Researches and fulfills BOL/document requests from customers, Sales, Accounts Payable, and other departments.
Types, prepares, and generates carrier load sheets and supporting documentation required for carrier payment and Accounts Payable processing.
Creates and processes purchase orders (POs) for equipment, vehicle/trailer repairs, maintenance, parts, services, and other Traffic Department expenses, for management approval.
Maintains accurate electronic records and ensures transportation, delivery, and payment documentation is properly scanned, filed, and readily available.
Provides coverage for Traffic Department colleague during absences, including the 3:00 a.m.–11:00 a.m. shift, as required to maintain continuous operational support.
Monitors and responds to emails and requests from customers, Sales, Operations, Accounts Payable, drivers, carriers, and other departments in a professional and timely manner.
Communicates directly with customers and internal departments to resolve documentation, delivery, scheduling, and transportation-related questions or issues.
Assists with communication between drivers, carriers, customers, Sales, and Traffic to ensure delivery information and documentation are accurate and communicated promptly.
Maintains a high level of organization and accuracy while handling multiple time-sensitive administrative and operational responsibilities simultaneously.
