About The Position

The Transit Operations department provides safe, reliable, and courteous transit services, including conventional bus, para transit, and rail operations, to 100 million customers annually. The Bus & Para Transit Operations team specifically focuses on delivering safe, reliable, efficient, effective, on-time, courteous, and cost-effective rapid transit service to the City of Ottawa. The Time Administrator works independently and is responsible for the daily processing of work schedules for ATU bus operators, dispatchers, and relief instructors. This role involves monitoring and applying contractual pay allowances and ensuring adherence to all booking procedures related to hours of work and work selections.

Requirements

  • Completion of 2 year community college diploma with a focus in finance, business administration, accounting or a related field
  • Minimum of 5 years of experience in payroll or time administration preferably in a transit environment
  • Experience should include working with collective agreements in the interpretation and application of pay procedures
  • In depth knowledge of general and daily booking processes and all spare boards booking rules and procedures
  • Computer proficient (MS Office)
  • Full understanding of system changes such as WMS, R3, SAP Time Recording & Evaluation and payroll process
  • Knowledge of the SAP time administration system relative to its acceptance of the various WMS systems’ pay hours
  • Detailed understanding and application of the ATU collective agreement, spare board booking rules and procedures, organization polices and the general booking process and the time administration exception based processes
  • Knowledge of applicable health and safety legislation, including the rights and duties of workers
  • Strong organization skills and attention to detail
  • Ability to work independently, set priorities and adhere to strict deadlines
  • Strong interpersonal and communication skills
  • Demonstrated ability to be persuasive, tactful and good judgment in dealing with sensitive and/or confidential work situations
  • Possess tact and diplomacy to handle complaints and inquiries
  • Flexible and adaptable to deal with shifting priorities
  • Possess sound judgement and strong customer service
  • Able to work in a fast-paced work environment
  • Possess a work record of good attendance and job performance
  • English oral, reading, writing language requirement

  • Previous supervisory experience is an asset
  • Ability to mentor, coach and impart knowledge to the team
