About The Position

At Stony Brook Medicine, the TH Instructional Support Assistant - Phlebotomy Technical Specialist at the Patient Service Center is responsible for developing and maintaining a full-service Patient Service Center, which includes phlebotomy and specimen collection. Key functions involve registration, billing, order entry, patient and customer service, result reporting, quality control, and auditing. The role requires strict adherence to regulatory agency guidelines (NYSDOH, CAP, Joint Commission) and institutional policies. The ultimate goal is to strengthen the connection between the hospital and the community by delivering exceptional service, thereby enhancing the reputation of University Hospital and the Department of Laboratories.

Requirements

  • Phlebotomy certificate
  • 2 years of phlebotomy experience
  • At least one year of experience in pediatric phlebotomy
  • Knowledge of patient registration procedures
  • Knowledge of regulatory and compliance mandates
  • Knowledge of insurance providers and billing information
  • Knowledge of hospital and/or laboratory computer systems

Nice To Haves

  • Associate's degree
  • One year customer service experience in a clinical healthcare setting
  • In lieu of degree, two years administrative experience to include one year customer service experience in a clinical healthcare setting
  • ASCP ASPT preferred

Responsibilities

  • Perform phlebotomy and specimen collection procedures to ensure proper collection and processing of patient specimens according to established standards.
  • Provide information to patients, hospital staff, community physicians, and clients regarding laboratory testing, specimen collection, laboratory services, result reporting, and specimen tracking, including daily faxing and sending of laboratory reports.
  • Provide patient services such as LSARD and outpatient registration, including knowledge of insurance providers, billing codes, order entry, Sunquest laboratory information systems, result reporting, crediting functions, and discharging per University Hospital policies and procedures, adhering to regulatory agency mandates like ICD-10 CM billing codes, medical necessity, and Medicare questionnaires.
  • Assist all clients with problem resolution, providing prompt and accurate solutions to service issues, testing problems, and billing concerns.
  • Process biological specimens optimally to ensure specimen integrity and maintain all safety regulations as per established procedures.
  • Maintain all records and patient files in accordance with University Hospital and departmental policies and procedures, including regulatory agency mandates from NYSDOH, CAP, and JCAHO.
  • Act as a liaison for courier services, identifying concerns and arranging services to meet departmental needs.
  • Demonstrate competency in Microsoft Office Suite and technical competency with the Department of Laboratories Information System, Sunquest, and Cerner patient management systems.
  • Maintain all measures of quality control related to patient and customer service centers.
  • Maintain adequate supplies and alternate stock for maximum benefits, ordering and distributing supplies to outreach clients.
  • Willingly rotate between the Customer Service Center, the Patient Service Center, and off-site areas, and adjust work hours to meet departmental needs.
