About The Position

The Testing Coordinator plays a crucial role in ensuring that teachers and leaders can make confident, data-driven decisions to support IDEA Public Schools' mission of preparing 100% of scholars for college. This role involves ensuring all students take appropriate tests in a standardized testing environment and that students receive approved accommodations. Successful execution by the Testing Coordinator allows the leadership team to focus on students' social-emotional support and family engagement.

Responsibilities

  • Ensure 100% of students at the school/campus have high-quality testing environments for district, state, and national tests.
  • Attend 100% of scheduled trainings with the national Assessment Team.
  • Own learning by actively participating in the TC TEAMS group, scheduled trainings, reviewing training materials, reading the weekly Testing Coordinator Newsletter, and assigned testing manuals/documents.
  • Create and communicate the campus testing plan for every district, state, and/or national assessment administration to their manager, lead team, teachers, and staff, in accordance with timelines from the National Assessment Team.
  • Communicate testing schedules and applicable updates to students’ parents/families.
  • Coordinate with campus IT technicians to ensure all computers used for online testing are updated and ready prior to test day.
  • Ensure all applicable campus staff and students have access to the appropriate online testing system.
  • Prepare 100% of testing bins 72 hours in advance of the district, state, and/or national testing date, including small group testing and obtaining supplemental materials.
  • Review all testing bin contents with the test administrator 2 days prior to the testing date and ensure the administrator understands how they will be implemented.
  • Audit all accommodation and supplemental materials with the applicable school special population point person (SPED, ELL, 504, RTI) prior to the testing date.
  • Process and manage state assessment materials following district guidelines and check state assessment materials in and out from the National Assessment Team.
  • Audit 100% of paper state test booklets and paper answer documents with 1 test-security trained lead team member to ensure all student information, including demographics, is correct before returning to the National Assessment Team.
  • Ensure on-time execution of 100% of all deliverables requested by the National Assessment Team, including data reporting, student counts, computer needs for online testing, and any other requested information.
  • May be appointed as the school’s designated ACT Test Coordinator, preACT Test Coordinator, and/or AP Coordinator.
  • Lead all campus testing training to teach staff district, state, and/or national assessment policies and procedures.
  • Schedule biweekly meetings with each school special point person to ensure all approved accommodations have been entered/updated in the applicable system by district-designated deadlines.
  • Schedule meetings with each test proctor at least 2 days ahead of the test to ensure proper implementation of approved accommodations and compliance with state and federal guidelines for special populations.
  • Oversee all testing sessions to ensure test proctors, test support staff, and other staff maintain compliance with testing policies and procedures.
  • Ask for and provide feedback to test support staff, proctors, and leaders after each testing session to capture feedback and act on improvement suggestions.
  • Set up and monitor all online testing systems and testing implementation for the school/campus to ensure 100% of students are tested in the appropriate format and with approved accommodations.
  • Partner with the campus IT tech to ensure 100% of equipment is prepared for online assessments 48 hours in advance of the test.
  • Lead the investigation of irregularities at the campus level and report all incidents to the National Assessment Team by close of business on the day the incident occurred.
  • Ensure 100% of teachers and leaders have access to all assessment systems required to access and administer tests, and analyze student data.
  • Update all Edcite Distribution Groups for the classes at their school/campus to ensure the teacher of record has access to district exams.
  • Serve as the primary point person at the campus for all testing systems, and train and support the use of those systems at the campus level.
  • Monitor the scanning of assessments to ensure the campus meets the 95% multiple choice components scanned within 24 hours of testing.
  • Track and monitor testing to ensure 100% of eligible students complete all applicable assessments.
