About The Position

The South Portland School Department is seeking a temporary clerk to provide administrative support to the Adult Education department from October 12, 2026, through approximately February 12, 2027. This role involves data entry, file maintenance, supply ordering, photocopying, event assistance, and direct interaction with adult students. The position requires evening hours one night per week until 6 pm.

Requirements

  • High school diploma or equivalency (GED/HiSET).
  • Willingness to learn and regularly use a student information system (SIS).
  • Willingness to become a CASAS proctor via online certification and proctor testing as requested.
  • Proficiency in Google Suite tools.
  • Experience with spreadsheets in either Excel or Google Sheets.
  • Ability to communicate clearly and concisely, both orally and in writing.

Nice To Haves

  • Previous administrative experience in a school or organization serving adult students is preferred.
  • Ability to speak one or more of the following languages: Portuguese, French, Spanish.

Responsibilities

  • Serve as the receptionist for South Portland Adult Education, handling phone calls, messages, voicemail, email, and greeting visitors.
  • Communicate information to students and respond to inquiries via WhatsApp and email daily.
  • Provide administrative support to the Director and Program Coordinators, including scheduling student appointments using Calendly and WhatsApp.
  • Serve as a certified proctor for the computer-based CASAS test for prospective and current students.
  • Complete intake paperwork with prospective students.
  • Enter student intake and attendance data into an online adult education database.
  • Maintain confidential student paper files and other files.
  • Order and track spending for office and instructional supplies using purchase orders and the MUNIS system.
  • File and organize receipts in an electronic drive.
  • Keep office supplies organized.
  • Assist teachers with photocopy requests.
  • Deliver supplies to teachers at two offsite locations.
  • Help with events such as student/staff celebrations.
  • Work evening hours as agreed upon, with a set schedule of one evening per week until 6 pm.
  • Perform additional duties as required by the Director or designee.
