About The Position

As the Technology & Facilities Specialist you will provide administrative support across three functional areas: IT, Fleet Management (vehicles), and Facilities Management (buildings). This role is essential for maintaining the smooth and efficient operations of these departments, requiring strong multi-tasking abilities, excellent communication skills, and a proactive approach to problem-solving. Systems is currently looking to hire a Technology & Facilities Specialist to support all of our services areas in Eastern Iowa.

Requirements

  • Must hold a valid driver's license, and maintain a driving record that is acceptable from a risk management perspective. You will also be expected to support at work sites, which may involve the ability to climb stairs and lift items up to 50 lbs.
  • Success in this role means staying organized and keeping track of many tasks to help the IT and Fleet & Facilities functions run efficiently.
  • A successful Technology & Facilities Specialist will consistently ensure administrative processes are executed with accuracy and timeliness.
  • They will be proactive and maintain a high level of organization.
  • Must be proficient in the Microsoft Office Suite.
  • Must be able to work independently, and be able to clearly communicate with vendors, tenants and co-workers.

  • Prior experience overseeing vehicle and/or property maintenance preferred but not required.

Responsibilities

  • Assist with the administrative tasks that keep the IT department running smoothly.
  • Process purchase orders and invoices for IT hardware, software, and services.
  • Help to coordinate and organize IT projects.
  • Track and organize vendor contracts, service agreements, and warranties.
  • Monitor and report on IT ticket system (e.g. collect data on ticket response time).
  • Assist with the administrative tasks that keep Fleet Management running smoothly.
  • Maintain comprehensive and up-to-date records for all company vehicles, including registration, insurance, and maintenance history.
  • Schedule routine maintenance, inspections, and necessary repairs with external vendors and internal staff.
  • Process and reconcile invoices related to fleet operations (fuel, repairs, parts, etc.).
  • Assist with the administrative tasks that keep Facilities Management running smoothly.
  • Serve as the primary administrative contact for facilities-related vendors (e.g., cleaning, HVAC, supplies, landscaping, snow removal).
  • Schedule and track routine facilities inspections and maintenance visits.
  • Support the management of maintenance requests, coordinating solutions with appropriate personnel.
  • Assist with logistical coordination for house and office moves.
  • Maintain a centralized lease tracking system that includes lease dates and tenant information.
  • Prepare and review lease renewal documents.
  • Track agency assets, retire unusable items, and help plan for their replacement.
  • Maintain confidentiality, attend meetings, complete tasks on time, use basic math and timekeeping skills, and support site needs.
  • Serve on the agency's Safety and Risk Committee.
  • Completes other duties as assigned.
