About The Position

In this role, you will provide an essential link between the Procurement, Project Management, and Engineering teams, ensuring that all project-related technical documentation is accurately processed in order to facilitate the project technical and schedule needs. You will manage a wide range of QA and project files—including drawings, reports, schedules, and correspondence—while ensuring compliance with internal Quality Management System (QMS) standards and procedures. You will also play a key coordination role, working cross-functionally with internal teams and external vendors to facilitate timely review, approval, and distribution of the documents that is key to the successful delivery of our unique and complex projects. Your ability to stay organized, prioritize tasks, and maintain attention to detail will help ensure project timelines are met and documentation is complete, accurate, and accessible.

Requirements

  • Diploma in Business or Office Administration (or equivalent experience), or 5 – 8+ years in a previous quality-based role in the construction, manufacturing, or project environment
  • Experience with document control systems
  • Proficiency in MS Office Suite, Bluebeam Revu, and Adobe Acrobat
  • Strong organizational skills with high attention to detail and ability to manage multiple priorities
  • Effective communication skills with the ability to collaborate across teams and external stakeholders

Responsibilities

  • Process and manage QA and project documentation, including drawings, reports, manuals, tracking lists, correspondence and delivery records.
  • Complete preliminary reviews to assess completeness and accuracy.
  • Coordinate, track, and manage the distribution of documents between internal teams and external vendors.
  • Process project management files as directed. Monitor document review cycles, follow up on approvals, and help maintain project schedules.
  • Support drawing control activities, including transmittals, updates, and maintaining project files.
  • Assist in compiling and organizing supplier and project information to create “Installation, Operating, and Maintenance (IOM) manuals”.
  • Maintain accurate records within document control systems and ensure compliance with QMS standards.
  • Collaborate with project teams and planners to prioritize document workflows, timelines, scheduling priorities and resource availability.
  • Communicate with internal stakeholders and external partners to resolve documentation issues and gaps.
